Position Overview: Astute administrative and communications professional that coordinates business for the National Portfolio Day Association’s Board of Directors. Work to develop and maintain relationships with member institutions, industry partners and serves as liaison between Board and organization’s membership.
Par-Time Contractor: 20 hours max per week, $25 p/hr
Duties & Responsibilities:
Perform secretary duties for the Board of Directors
Coordinates Board and Committee-related meetings and activities
With input from the President and Vice President and committee chairs, organizes a yearly calendar of meetings for the Board of Directors and Committees.
Makes all meeting arrangements, including space, catering, and notification of participants
Organizes annual membership meeting and the annual summer Board meeting. Attends both.
Prepares preliminary agendas for approval by the President and Vice President
Prepares and distributes required meeting materials
Attends Board of Directors and Committee meetings (as assigned), and takes the official minutes of the meetings
Manages and maintains all records for the Board of Directors and ensures that all information and rosters are kept current on Google Drive
Serves as liaison with organization’s 3rd party vendors: designers, attorney, accountant, financial representatives and webmaster
Serve as liaison with organization’s membership
Answers all emails from the organization’s general account
Spearheads social media content and posting
Develop and maintain ongoing Communications/Marketing Strategy. Update on an annual basis.
Identify opportunities to communicate with influencer groups, such as art teachers and educators. With Board/Committee approval, pursue the development of relationship-building activities to foster engagement and support from primary influencer groups. Activities may include: targeted email campaigns, conference attendance/representation, contest campaigns
Manage/oversee all NPDA social media accounts, help preschedule entire season of posts and ensure prompt responses to any online engagement and queries
Effectively utilize social media management platform (Hootsuite/Buffer) and develop monthly metric reports for Marketing Committees/Board
Liaise with host members to ensure receipt of event host marketing materials. Maintain effective database of annual host event materials.
Liaise with host members to develop ongoing communications regarding the collaboration of shared marketing initiatives (i.e: shared social media posts)
Create and maintain visual databases with member solicited photographs, visual content (i.e: manage NPDA Flickr/Vimeo/YouTube accounts with shareable/downloadable archives)
Identifies grant opportunities and writes proposals with assistance from the Board’s Executive Committee
Miscellaneous duties as required and assigned by the Board President

The National Portfolio Day Association (NPDA) was created in 1978 solely for the organization and planning of National Portfolio Days. The Association consists of representatives that hold regional accreditation and accreditation from the National Association of Schools of Art and Design (NASAD), or Substantial Equivalency status.
