The HiTS Database and Social Media Coordinator (DSMC) is a member of the HiTS Administrative team reporting to the Director of Administration and Finance. This team's mission is to provide the HiTS community with exceptional human resource, finance, and administrative services while ensuring compliance with all applicable federal, sponsor, and University guidelines.
Due to the collaborative nature of HiTS, we bring together researchers from schools across the University, the affiliated hospitals, and other regional institutions into research teams on the HMS Quad. This requires us to approach our administrative and operational responsibilities in a creative way, maximizing communication and efficiency. Since a large number of our members are appointed outside of HMS, we have implemented a software as a service system, BambooHR, to facilitate the management of HR data, and Adaptive Insights (AI) to manage financial data and reporting for our entire research community. The many complexities involved in dealing with multiple schools, research institutes and hospital affiliates create a uniquely complex set of data management challenges in support of individuals as well as grant management reporting.
The Database and Social Media Coordinator (DSMC) will serve as the program's primary point person for accurate HR and financial data. The DSMC creates and maintains personnel files for new employees in BambooHR and verifies with data in MARS. Completes and manages monthly HR and Financial data uploads and ensures data integrity. Works with HiTS Finance to inform financial projections based on changes in personnel. This individual also updates process documents and creates new process documentation when needed.
Serves as the point person for HiTS data-management needs working with PeopleSoft, BambooHR, Adaptive Insights and other resources. Ensures that HR data is accurate and available to the HiTS Admin team by working with HMS IT and BBHR to troubleshoot any problems with data integrity. For financial data, the DSMC will work with the HiTS Finance team and outside consultants to ensure that our historical financial data is accurate. This individual initiates the monthly payroll reconciliation process on behalf of the HiTS team. In addition, we anticipate this role will make us ready to integrate with SalesForce by providing confidence in our data and the skills required to organize it into compliance with the future HMS SalesForce data model.
Communication and Outreach The DSMC will use their knowledge of the HiTS community to pro-actively generate content and suggest updates for the program's website. They will work closely with the HiTS Executive Director to manage social media platforms and other forms of communication. HTML knowledge and ability to maintain the existing web site, and experience with Video Conference/Multimedia Equipment highly desirable. Experience using WordPress and social media sites in the context of organizational communications.

Five or more years of related experience. Education beyond high school may count toward experience.
A college degree strongly preferred.Experience with data management, software as a service model, and databases. Experience in complex tabular data
Experience with Photoshop, InDesign, Illustrator, HTML, Web Analytics, SEO, social media management and electronic newsletters a plus. Experience with Open Scholar, and Canvas helpful. Willingness to learn to use new software as needed.
Ideal candidate would have excellent organizational and time management skills, extensive knowledge of data preparation procedures and requirements, excellent written and verbal communication skills, and ability to manage multiple tasks and meet deadlines.
