Columbia, along with some of its NYC peer universities, run a number of accelerator, proof-of-concept, and entrepreneur matching programs. The goal of all of these programs is to support the commercialization of early-stage scientific inventions emerging from the university research labs, by providing the right balance of proof-of-concept funding, entrepreneurial training, mentorship, connection to talent, access to venture capital for startups, and training in industry dynamics across a variety of industry verticals including medical devices, therapeutics, media, and cleantech, among others. While new programs are being added to the CTV repertoire over time, the Program Administrator will be initially expected to support the following initiatives: NYSERDA Entrepreneur-in-Residence Program, NYS Cleantech Venture Exchange, Columbia Lab-to-Market (L2M) Accelerator Network, Accelerating Cancer Therapeutics (ACT), Translational Therapeutics Resource (TRx), Columbia Biomedical Technology Accelerator (BiomedX), NYC Media Lab Combine, and PowerBridgeNY.
The Lab-to-Market Program Administrator reports directly to the Director, Lab-to-Market Accelerator Network, but works closely with each of the individual Accelerator Managers.
Reporting and Deliverable Management and Communications
Candidate will ensure that any awarded teams and entrepreneurs in residence (EIRs), when relevant, report on their progress, including tracking the submission of any required written reports and scheduling of progress reporting meetings. For graduated teams, the candidate will assist with tracking outcomes over time. Candidate will be responsible for managing communications with teams and EIRs, as directed by the program managers.
The candidate will work with program manager to understand what reporting requirements they have to provide their funders for both quarterly metrics reports and milestone deliverables. The candidate will support the preparation of these documents and will work with the program managers as needed. Once complete, the candidate will be responsible for submitting the items to the funder as appropriate and track the approval process. If the item has a milestone payment associated with it, the candidate will also await and record the receipt of funds and follow up with any outstanding items.
Working with the marketing team at of L2M and Columbia Technology Ventures (CTV), for internal events and external marketing sessions, the candidate will manage event logistics including room booking/setup/breakdown, event promotion/invitations, AV, and catering. Candidate will attend some of these events as needed to provide on-site support. Candidate may also be asked to set up online webinars where relevant.
Candidate will collect, organize, and maintain lists of internal and external resources that may be of use to the various stakeholders, including externally-created content (blogs, videos, online bootcamps), service provides (law firms, accounting firms, contract research organizations, design firms), Columbia-wide contact lists (communications, department administrators), external speakers for events, and document templates (sample pitch decks, grant language, sample proposal docs).
Finance, Accounts Payable
The candidate will work with CTV Finance to ensure all invoices are paid in a timely fashion. This will include getting vendors, including EIRs, set up in the system with the appropriate paperwork, reviewing and submitting the invoices received to Procurement, and tracking the payments to ensure they are billed to the correct account.
Support Application and Program Administration Processes
The candidate will support the Director, Lab-to-Market Accelerator Newtorkand the stakeholder teams with the full cycle of applications, project and program administration each year. This will entail activities such as entering information into tracking software, working with and maintaining Airtable databases,,attending meetings and taking notes; anonymizing and distributing notes to the teams after judging sessions; scheduling meetings, and other responsibilities, as necessary.
Office Management and Coordination
The candidate will provide support with managing the L2M office facilities at the MLK Wing of Riverside Church. This may include, among other things, managing stocks for office supplies, food and beverage, liaising with the Riverside Church, CTV, and other Columbia University teams to ensure uninterrupted functioning of L2M offices at Riverside Church.
Coordination with Programs and Miscellaneous Tasks
The candidate will periodically report out to the program managers on the status of the deliverables and finances. The candidate should expect to meet with the program managers on a regular basis to ensure everything is running smoothly. The candidate should be flexible with these requests and be clear with the program managers what they will and will not be able to take on.
BA or higher degree greatly preferred
The most important criteria for this job are ability to multi-task effectively and efficiently, and to track projects over time at varying degrees of detail. Accordingly, candidate must have outstanding organizational and time management skills and be extremely detail-oriented in a high-volume dynamic environment.
Experience reviewing legal agreements is a plus.
Project management experience is a plus.
Excellent oral and written communication skills.
