The UW Finance Transformation Program (UWFT) is a $270M initiative to replace the University’s financial systems with an integrated system to manage the full suite of financial transactions and reporting needs in the UW system – to include academic, administrative, and healthcare. UWFT will fundamentally change the processes and tools that the University employs to track, spend, collect, manage, and report University finances in excess of $7B in annual revenues, resulting in more timely and actionable information for leadership. Among the UW’s highest administrative priorities, this multi-year initiative is one of the largest finance system projects in Washington State and the outcome of the program will be highly visible at all levels of the University and the state.
The University of Washington is seeking a Gap Applications Lead to play a key role in the implementation of an enterprise-wide Finance and Supply Chain system, and the modernization of related business processes. The Gap Applications Lead will have responsibility to manage the UWFT gap application deliverables associated with the Workday Finance implementation. The Gap Application Lead will work with business and system owners as well as program leads to gather requirements for determining gap applications that must be built to support business operations that cannot be completed within the Workday system. The Gap Applications Lead will build a team of Application Developers and oversee the design, development and testing for the identified gap applications. These applications could range from simple to complex, and must be tightly coordinated with the system security infrastructure between UW systems and Workday.Therefore, this position must work closely with UWFT team leads, and key partner organizations, such as UW-IT and UW Medicine IT.
Gap Applications Design, Delivery and Management
This role will lead the organization in determining application needs and delivering solutions that will be required to successfully integrate the new Finance system with existing enterprise university systems. This includes:
* Leading the effort to determine gap application needs across a complex technical environment where over 800 side systems have been built to support unique business needs across the UW enterprise
* Working collaboratively with Tech Change Management lead to ensure units that will not have a gap application built have resources available for further determination around remediation or retirement of the system(s) identified
* Ensuring the right project, vendor and university representation at all relevant design sessions
* Coordination with consultant resources and other program technical leads to develop common practices and quality control checks
* Ensuring the creation of application design documents, assisting as necessary
* Ensuring an accurate record is kept of all design decisions
* Devising and managing a schedule of the delivery of the designed applications to align with the overall project timeline
* Reviewing and contributing to the overall testing strategy and plan
* Ensuring issues that arise with applications during testing are tracked and addressed
Technical Solution Selection, Design, Build and Unit Test
* Assess current state side systems inventory and determine list of applications based on technical strategies
* Be knowledgeable in the Workday Integration Toolset to inform technical design decisions
* Contribute to the review of integration configuration to ensure common practices and design requirements are implemented
* Contribute to the design, build and unit testing of assigned integrations
* Mentor less experienced staff in integration discovery/design/mapping sessions, technical design documents, Workday configuration and testing activities
* Monitor Workday releases for impact on current and future integration build configuration
* Actively seek opportunities for reducing the integration landscape complexity with common solutions for inbound/outbound data integrations
Team Leadership and Facilitation
*Help define the required competencies of and staff the Workday integration team
*Build effective working relationships with project team members and key stakeholders, including the functional and testing team members, who will coordinate with the Workday Integrations Lead in a matrixed relationship
*Conduct regular team meetings and meet frequently with project and business stakeholders
*Conduct annual performance reviews for direct report project staff
*Work closely with vendor resources to ensure the UW and vendor resources are working as a single team. Ensure knowledge related to integration configuration, validation and support is transferred from vendor resources to the UW team
*Identify and articulate issues for escalation and contribute to project status reports and other key project deliverables

Bachelor’s degree and six years of increasingly responsible experience including technical project management and supervisory responsibilities
Ability to understand business and technical issues and alternatives, and facilitate problem solving and issue resolution within and across these modalities, including phases of fit-gap analysis, system design and configuration, security design, system integration, data conversion options, testing, training, reporting, requirements tracking, and business process improvement
Experience managing integration engineers or other developer technical staff
Experience designing, configuring/developing and testing complex reports and/or integrations
Experience working with subject matter experts and business leads
Effective team-building and motivation skills, including a proven track record of developing and building team member strengths, helping team members with challenges, and providing a supportive working environment to enable active employee engagement and optimal team performance
Experience acting as a collaborative and supportive member of a team to accomplish project goals
Experience managing a portfolio of technical projects across a diverse range of stakeholders
Expertise with SharePoint, spreadsheet, word processing, and presentation application
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
Experience in a large university, large medical center, or other large complex enterprise
Experience representing and/or leading system development and implementation efforts across a large, decentralized enterprise
Experience with technical workstreams of a Workday ERP implementation
Experience configuring Workday Integrations or Reports
Experience with designing common integration solutions
Experience with finance and/or supply chain subject areas
