Overview: The Institute of Human Development and Social Change (IHDSC) is the largest interdisciplinary research center on NYU's Washington Square Campus with a portfolio of over $50 million in active federally- and privately-funded research grants. IHDSC brings together researchers from the social, behavioral, and health sciences to examine how complex social forces such as globalization, technology, and immigration affect human development. The Institute is a joint initiative of the Steinhardt School of Culture, Education, and Human Development, the Wagner School of Public Service, the College of Arts and Sciences, and the Office of the Provost.
Position Summary: IHDSC seeks a full-time staff member to support the Institute's communications and operations activities. This individual works closely with IHDSC leadership to execute the Institute's communications strategy, oversees planning and coordination of a variety of events to meet Institute goals, and provides day-to-day operational/administrative support to the Institute's central staff and research community.
Maintain IHDSC's website, update content (CMS) and work with Steinhardt's Web and Marketing Team to implement design changes.
Develop and maintain working knowledge of University guidelines on communications, including digital accessibility.
Monitor IHDSC's social media accounts, track news stories (Google alerts), and work closely with IHDSC leadership to develop social media campaigns.
Oversee the communications needs of IHDSC's research community (e.g., assess website and social media needs, coordinate trainings with Steinhardt's Web and Marketing Team).
Aggregate, prepare, and disseminate digital communications to IHDSC's research community.
Design and produce graphic materials as needed for digital communications.
Manage IHDSC's inbox, respond to inquiries/informational requests from the general public and route communications appropriately.
Events Management (30%)
Coordinate logistics for a variety of large- and small-scale events, including identifying venues, arranging catering, coordinating travel and hotel needs, and preparing materials.
Work closely with IHDSC leadership to set events calendar and liaise with departments across the University to coordinate co-sponsored events and reduce conflicts/overlap.
Manage events budget, process and track vendor payments and speaker honoraria/reimbursements, settle accounts for co-sponsored events.
Prepare and submit travel and business expense reimbursements. Interpret NYU policies and procedures and advise faculty, research staff, and students on their application.
Submit requests for research supplies, equipment, and services through the University's procurement systems. Respond to general inquiries from vendors and assist research staff in navigating and troubleshooting NYU's purchasing systems.
Book travel arrangements, ensuring compliance with University and federal requirements.
Maintain and reconcile monthly shadow budgets.
Assist in processing part-time and student appointments for the department. Handle onboarding and troubleshoot appointments and payments.
B.A. required, M.A. a plus. Minimum two years' office administration experience required, preferably in a University or nonprofit setting. Experience maintaining websites is essential (e.g., working knowledge of HTML, CMS environments such as Wordpress and/or Drupal). Hands-on experience with Google Analytics, video editing, and graphic design software (Adobe Creative Cloud) a plus. Strong organizational ability with keen attention to detail. Excellent communication and interpersonal skills with a customer service orientation. Highly responsive. Flexible and able to routinely juggle competing priorities. Able to interact effectively and diplomatically with colleagues across all levels of the organization.
