Job Summary The Sr. Systems Specialist is responsible for high level administration and optimization of Harvard Real Estate (HRE) software applications. This includes physical security systems, lease management and administration systems, document management systems, and the work request system. Reporting to the Assistant Director, University Leasing and Space Planning will oversee all systems related projects, upgrades and software/hardware maintenance and installations. This role will work closely with Assistant Director, University Leasing and Space Planning to enforce administrative policies for users of all systems and to create and maintain internal training programs and documentation of policies. This position shall partner closely with Harvard University Information Technology (HUIT) to continually evaluate and implement new strategies and/or software features that will allow HRE to run more efficiently and cost effectively via the use of existing or new technology.

Job-Specific Responsibilities Physical Security Systems This position will manage high level programming of the Harvard Real Estate portfolio within CCure 9000 to include assigning access, creating and managing clearances, schedules, events and holidays. This role will regularly troubleshoot hardware and user access issues and work with property management teams to respond to incidents. This role will be responsible to regularly audit usage, access, naming conventions and workflows for the CCURE 9000 system. The Systems Specialist will work closely with HRE Management, Harvard University Police Department EPACS team, contract security and physical security vendors to manage projects related to the installation and maintenance of security systems including electronic access control, CCTV, intrusion and duress alarms, visitor management identification system and monitors operational status of card access panels in the access control system. This position will also oversee all video systems through the American Dynamics Victor Client. The Systems Specialist will work closely with the HRE Security Manager to ensure optimal functionality for HRE's Security Operations Center. This role will help create and manage custom views and video tours and will oversee all video hardware upgrades and installations in partnership with HRE Management. Will work closely with HUIT and security vendors to troubleshoot video quality and other system issues that may arise.
Leasing System Act as business unit contact for all Yardi 7S upgrades, communications and new version testing. Work closely with HRE Management to determine ongoing business unit needs and optimizes usage of off the shelf products as well as custom reports and functionality to support HRE in its mission. Create internal training programs and documentation to ensure that data is entered consistently by all users. Regularly monitors system data input for accuracy and correct input techniques. Ensure our leasing systems create cutting edge reporting and dashboard tracking screens to assess opportunities to increase revenue, vibrancy and occupancy in the portfolio. Develops new reports and functionality as needed working closely with end users to determine their needs in the system and how to most effectively delivery the necessary support data required. Work Order System Oversee use of and optimization of Building Engines (BE) Work Order platform for Real Estate. Work closely with Building Engines representatives and HRE Management to continually evaluate and implement new system features and troubleshoot any issues. Support the Management Team in creating and delivering useful metrics reports from the system. This role will work closely with the HRE Security Manager to ensure optimal functionality of the Visitor Management module within BE and associated hardware. Pilot relationships between Building Engines and other University work order systems to track service-oriented results across departments.
Complete other tasks and projects as assigned by Assistant Director, University Leasing and Space Planning.
Basic Qualifications • Bachelor's Degree, plus 5 years systems administration or relevant experience required. . Required systems and application skills include advanced Yardi, CCure and Excel.
Additional Qualifications • Must have strong technical, analytical and proven project management skills • Proven ability to learn new systems strongly preferred. • Excellent organizational skills with particular ability to prioritize work and to work independently. • Ability to handle sensitive, confidential information. • Sense of humor, strong communication and intrapersonal skills are integral to success.
