The Communications Specialist is an integral part of the HMS Office of Communications and External Relations, providing key support and helping to advance key internal communications and media relations initiatives.
Reporting to the Communications and External Relations Manager, the Communications Specialist's responsibilities encompass digital communications, writing and editing, event management, and media relations support as detailed below.
Compile and disseminate the daily HMS In the News email digest. Write a teaser synopsis of news stories, ensuring the brief narrative captures the essence of the story.
Build the bi-monthly MyHMS internal communications e-newsletter using HTML, Drupal, BeePro and/or Acoustic. Develop a system for managing content as it is submitted. Partner with the Interactive Media Strategist to ensure newsletter is delivered on time, track and report analytics and proactively recommend improvements.
Develop and manage content on the MyHMS intranet platform in Drupal in tandem with the release of the bi-monthly e-newsletter.
Serve as the backup to the Interactive Media Strategist, building and sending all broadcast emails in his/her absence.
Responsible for supporting the internal email communications process, including drafting, sending, and tracking of requests. Track and report email analytics.
Manage the email accounts for Communications, Digital Signage, Longwood Seminars, and HMS News Clips. Respond to and/or triage inquiries in a timely manner.
Manage digital signage for OCER, including fielding requests, working with clients to develop and finalize content using established best practices, and posting slides on the Visix platform.
Write and send emergency and inclement weather notifications via email and the Harvard University emergency notification system, MessageMe.
Manage the HMS master calendar via the Trumba platform.
Manage and develop the OCER virtual pressroom on the HMS flagship site via Drupal.
Coordinate and manage the annual spring HMS Longwood Seminars: developing annual themes, map timelines, research and conceptualize topics, secure speakers, develop a marketing plan, coordinate all logistics (e.g., room reservations, media services, catering), manage attendee registration and communications and manage day-of-event logistics and event flow.
Coordinate monthly [email protected] lecture series, designed to build community by engaging faculty, staff, and students. Manage program development, speaker identification, marketing and logistics (e.g., room reservations, media services, catering).
Coordinate logistics for special events that arise.
Partner with the Digital Communications team to coordinate live streaming of events. Provide post-event analytics to help quantify the impact and reach of events.

Research, write, edit and/or copyedit news stories (approximately 1-2 stories per month) for the MyHMS bi-monthly e-newsletter.
Write introductory remarks and talking points for hosts of the Longwood Seminars, [email protected] and other special events.
Write internal announcements and community letters.
Develop original content for campus digital signage. Copyedit signage submissions. Contribute to strategic and editorial planning for digital efforts.
Write copy for marketing collateral, advertisements, event signage, etc.
Exercise independent news judgment.
Provide organizational and logistical support for the school's annual Media Fellowship program every fall.
Manage the timely posting of research releases on news wire services. Ensure proper formatting, embargo labeling and captioning of visual content.
Provide logistical support for film and photography requests on campus and escort crews as necessary.
Assist in the management and scheduling of radio interviews.

Four or more years of experience with proven digital communications, writing, event, project management, media relations or related experience.
Bachelor's degree in communications, journalism, marketing, or related field preferred. Science, health care and/or higher education background a plus.
