Responsible for the general administrative support for a group of sales/client facing professionals. Maintains the organization brand to develop and produce marketing materials such as proposals, presentations and communication materials. Performs medium to complex administrative support activities and provides functional advice when needed.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Produces and coordinates marketing materials and maintains sales professionals' listings. To include: property flyers, brochures, Campaign Logic eblast, postcards, placemats, maps, floor plans, BOV's, Offering Memorandums, Tour Books and Professional Profiles, etc.
Coordinates with sales/client facing professionals to obtain owner approval for all marketing materials
Obtain Marketing Manager and Managing Director approvals for all non-standard marketing materials; ensure marketing materials and approvals are maintained with the listing.
Creates standard listing and commission agreements; coordinates non-standard listing creation, facilitates requests and approvals with sales/client facing professionals and legal department; in coordination with other department team(s), maintains and tracks listing(s) and commission agreement(s). Ensures client receives executed copy.
Reviews internal and external collateral materials, proofreads content, ensures appropriate branding, and approves materials for final distribution.
Maintains internal and external databases such as Opportunities, LoopNet, Costar, The Well, Sales Force.com, etc.
In coordination with other department team(s), facilitates the listing process to include: creating marketing budget, monitor expiration dates, add/remove signs, maintain Confidentiality Agreements and provides client status reports.
Coordinates/compiles market and property research to include: tax reports, aerials/maps, demographics, traffic counts, etc.
Coordinates the creation of press releases, client sponsored or sales/client facing professionals events, social media feeds and obtains owner, Marketing Manager and Managing Director approvals for same as/when needed.
May participate and obtain required certifications to include: national Marketing/web calls, web certification, local specialty meetings and line of business calls.
Miscellaneous duties may include: prepares vouchers when listings are complete, expense reports and submittals.
Completes broker pipeline report to assist in managed brokerage (DH).
Fields incoming calls for sales/client facing professionals as needed for follow-up.
May arrange for travel using organization travel agent in accords to organization policies (DH).
Other duties as needed.

EDUCATION and EXPERIENCE
Associate's degree (A.A.) or equivalent from two-year college required.
Three years experience providing administrative support to multiple or team of professionals.
Ability to determine and respond to conflicting priorities preferred.
Two years experience in Real Estate industry.
CERTIFICATES and/or LICENSES
Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding.
Ability to write routine reports and correspondence.
Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor.
Ability to effectively present information to an internal department and/or large groups of employees.
Requires basic knowledge of financial terms and principles.
Ability to calculate simple figures such as percentages.
Ability to understand and carry out general instructions in standard situations.
Ability to solve problems in standard situations.
Requires basic analytical skills.
OTHER SKILLS and/or ABILITIES
Intermediate skills with Microsoft Office Suite products such as Word, Excel, Outlook, etc., internet research and web publishing skills.
Ability to manipulate basic templates in Power Point and/or InDesign preferred. Strong marketing knowledge preferred.
