The Assistant Director of Admissions Operations is responsible for providing operational support to Undergraduate Admissions in functional areas related to database and records management, document processing, postal mailings, and application authentication. The individual works on an operations team and assists with training and quality assurance across team functions. The individual will work with admissions leadership to identify areas of operational practices that can be streamlined and improved.
Manage the planning, printing and sending of postal mailings for the admissions cycle including, but not limited to, prospect and counselor letters and admissions packets.
Ensure data integrity across the Admissions CRM and the University SIS. Assist with application loading and record management within the SIS. Ensure accurate creation and maintenance of student records with the support of data entry staff. Assist with and execute operations-related quality control tasks and troubleshooting methods.
Under the direction of the Director of Marketing & Communications, manage the Enrollment Group public email accounts (ugrad-ask, ugrad-confirm) and coordinate training, support and implementation of outgoing email responses.
Assist with the application verification process. Support processes that work to verify physical and digital application materials. Assist with the audit of application materials for matriculating students.
Coordinate continuous training for operations staff to enhance knowledge of software applications and emerging technology. Develop and maintain an archive of training materials and reference guides for end users, a procedures manual for staff and documentation of policies and workflow protocols.
Manage FERPA requests. Act as the point of contact for current and former students who request to view their admissions documents. Schedule and conduct meetings with students to complete any requests sent to Undergraduate Admissions within a mandated response time frame.
Identify opportunities for the improvement of document processing and database management.
Perform other related duties as required.
Bachelor's degree or equivalent required.
Minimum of 2 years of relevant experience.
Experience within an admissions work cycle.

Knowledge of a student information system is highly desirable.
Previous experience with a document management system and CRM is desirable.
Demonstrate understanding of programming logic (e.g. SQL, SAS, HTML).
Familiarity with Technolutions Slate.
Excellent analytical, organizational, interpersonal and written and oral communication skills.
Ability to prioritize and manage multiple tasks under short and changing deadlines.
Ability to respond quickly to staff and prospective student questions with a high level of customer service.
A clear understanding of the handling of personal and confidential information.
Must be able to exercise sound judgement, discretion and tact with all levels of constituents
