The Annual Giving Officer is a member of the Development team, responsible for implementing the administrative side of the annual giving program at Punahou School. In collaboration with the Director of Leadership Annual Giving, the Annual Giving Officer sets goals for the $2M+ Punahou Fund and helps to implement a comprehensive strategy for increasing unrestricted support and donor participation for the School. The Annual Giving Officer will implement tactics, manage the day-to-day operation of the fund, and communicate regularly with the school community and with volunteers. Under the direction of the Director of Leadership Annual Giving, implements the annual giving tactics, including appeals, direct solicitations, social media campaigns, and stewardship for our donors.
Manages the appeal process from concept to mailing, working closely with vendors, consultants and internal departments. Manages multiple appeals simultaneously while keeping supervisor apprised on the status of all appeals. Anticipates potential challenges and suggests solutions to ensure all deadlines are met.
Serves as a high-end, super user for Raiser’s Edge (RE), the departments donor management software. Regularly uses RE to query, run reports, export data, and manage the operations of appeals in conjunction with the Communications team and the mail house, ensuring a customized approach for renewals of all leadership level and Punahou Fund donors. Works with development team on potential donor and prospect queries, invitation queries, and queries to analyze data.
Stays abreast of any RE updates via trainings and other approaches. Finds innovative ways to utilize the system to enhance current processes.
Regularly analyzes annual giving data and suggests revised strategies when needed to reach program goals. Runs quarterly comprehensive reports and provides supervisor with dashboard reports on a weekly basis.
Assists Director of Leadership Annual Giving with the administrative management of volunteers, which include the Parent Advancement Council, the H.O.P.E. Faculty and Staff Giving group and the Grandparent Council.
Responsible for all materials and collateral relating to the Punahou Fund program which include the annual direct mail campaigns, segmenting mailing lists, creating collateral material, thank you cards, assisting with event language, copy and production, and coordinating with the Communications team and with outside vendors.
Provides high-level customer service to all Punahou Fund and leadership annual giving donors. Promptly and accurately responds to routine donor inquires.
Works collaboratively with the development team to support all community-building and fundraising efforts in addition to the Punahou Fund;
Works with the Gifts Manager to ensure all gifts are logged, acknowledged, receipted in an appropriate, accurate and timely manner;
Monitors progress on the Punahou Fund - participation data, dollars raised, pace, comparisons to previous years and current year benchmarks;
Communicates the school’s mission and brand promise to all constituencies.
Provides general development support work as needed and performs other duties as assigned.
Position Details: Department: Advancement Status: Full Time Regular FLSA Status: Exempt Work Year: 12 month Work Hours: Monday through Friday, 7:30 AM – 4:00 PM. After work hours, weekends, holidays for special events as needed.
Bachelor’s degree in marketing, communications, business administration and/or related field.
Five (5) years work experience in marketing, communications, fundraising, alumni relations, and/or volunteer management required.
Demonstrated data management experience dealing with large, complex data sets.
Strong analytical thinking and problem solving skills, with attention to detail and discretion to handle confidential information;
Excellent organizational and project management skills, including proven ability to successfully handle multiple projects and meet multiple deadlines;
Genuine enthusiasm for community involvement within philanthropy and fundraising;
Proficiency in Raiser's Edge, Microsoft Office applications (e.g. Word, Excel), Google suite and the aptitude to quickly learn other computer programs/applications.
Uses technology as a tool to research, organize, evaluate and communicate information. Uses digital technologies, communication/networking tools and social networks appropriately to access, manage, integrate, evaluate and create information.
Keeps abreast of knowledge and/or skills required to perform the job effectively. This includes keeping up-to-date on new industry, company, product, and technical developments. Demonstrates a commitment to continuous improvement and an active interest to enhance and apply new functional skills.
