Provides a wide range of professional office support to University Analytics, a fast growing high profile department, and their Executive Office Manager.
Administers general office support which will include welcoming/directing visitors, receiving/screening telephone calls, mail distribution, guest parking, and opening and closing the office suite. Maintains a welcoming, service-oriented environment in the front office. Willing to work and collaborate closely with supervisor on all fronts within the office. Coordinates departmental travel for employees through Concur, processes travel authorizations and expense reports for travel in campus system while following university policy and procedures. Collects monthly vacation/sick time from department employees and enters time into system accurately in a timely manner. In addition, collaborates and aids executive office manager with a varied array of department needs, including, but not limited to, scheduling floor conference rooms both internally and externally, assists in general office upkeep including maintaining of kitchen areas on the floor as well as maintaining office equipment and creating facility help tickets when needed. Able to perform duties for multiple directors, research issues that may arise around the office and helps other department personnel find conference room space around campus for meetings when needed. Aids in all areas of event and meeting preparation including set-up, break-down, and clean-up, especially when catering is involved. May lift items 20lbs or more. Creates payment vouchers in UT Share system when required. Handles all new equipment arrivals by dispersing and keeping detailed spreadsheet on all new and current department assets. Must be well organized, able to file both in the paper and digital form, ensuring accurate files for the office. Acts as communication aid and point of contact within the department as well as serves as liaison with other departments and outside agencies when required. Maintains professional and technical knowledge by attending workshops as needed. Performs other duties as assigned. Bachelor’s degree with one (1) year upper level secretarial experience or high school with five (5) years of increasingly responsible administrative, secretarial and clerical experience or equivalent experience. Exceptional computer skills; specifically must have experience in using Microsoft products including Word, Excel, Outlook, Teams, as well as Adobe Acrobat. Excellent oral and written communication skills, organizational skills and interpersonal skills necessary.
Able to use and at times trouble-shoot a variety of office machines including, but not limited to, printer/fax/copier/scanner. Tech-savviness in all core technology realms is extremely helpful. Well—mannered telephone skills and etiquette. Experience organizing travel a plus. Ability to prioritize and organize workload utilizing time management skills. Maintains confidentiality of work-related information and materials. Able to lift items of 20 lbs and move a variety of office items occasionally as needed.
