Business Operations Coordinator, Georgetown University
The Business Operations Coordinator provides administrative support for the Senior Associate Vice President for Budget, Financial Planning and Treasury Management. S/he supports the work of Budget, Financial Management and Treasury Management, and related work with the University CFO's Office including preparing Board of Director's materials, composing/ developing MS PowerPoint presentations and talking points, tracking/coordinating projects, and managing scheduling and appointments for the Sr. AVP. The incumbent will facilitate the flow of information between the Sr. AVP and key organizational stakeholders, including direct reports, board members, banking partners and community representatives.
Administratively reporting to the Sr. AVP of Budget, Financial Planning & Treasury Management, and supporting other projects in the Office of the CFO's upon request, the Business Operations Coordinator has additional duties that include but are not limited to:
Manage scheduling, create meetings, coordinate interactions and events as assigned for the Sr Associate Vice President for Budget, Financial Planning and Treasury Management.
Create briefings and advance documents and materials as assigned.
Manage/ Coordinate the Fall and Spring planning process
Project Management Responsibilities
Manage projects and deliverables related to the work of the Sr. AVP and related work in Budget, Financial Management and Treasury Management including banking compliance, budget cycle timelines, etc.
Manage and coordinate with various departments on periodic high-level presentations and Board of Director's materials including materials to the Committee on Finance and Administration
Assessment department processes and recommend improvement
Maintain the Budget, Financial Management and Treasury Management compliance calendar and work with the respective process owner to ensure the university is compliant including debt compliance
Maintain the university budget cycle calendar /timeline to be provided to the campus for budgeting, forecasting, pricing, etc
The successful candidate will possess the following qualifications:
A minimum of 5 years practical experience working in an administrative role is required.
Bachelor's degree required.
Experience working with senior leaders in a higher education setting.
Experience managing multiple projects for multiple principals simultaneously.
Experience in working with confidential information/ budgets/ contracts/organization structures/ HR -related issues.
Superior written and verbal communication skills.
Outstanding organizational skills.
Exceptional reliability and work ethic.
Advanced proficiency with MS Word, Excel and PowerPoint.
Demonstrated experience coordinating with various departments on high-level presentations to senior/Board-level leaders
High level of professionalism required to represent senior university administrators
The ideal candidate will be highly motivated, results-oriented, and pro-active; must be organized, efficient, and able to manage multiple projects on multiple timelines. S/he must possess superior organizational skills, discretion, a capacity to anticipate needs and to pre-emptively respond to them, and the ability to work both independently and collaboratively with colleagues across the university. S/he will be asked to manage and implement projects and administrative duties in a team-oriented environment.
