Position Summary: The Associate Director, Internationalization Services, is an integral member of the Academic Affairs and Internationalization (AAI) team. This position collaborates with NAFSA member leaders in the International Education Leadership Knowledge Community (IEL KC) to facilitate the development and dissemination of knowledge about higher education internationalization. The Associate Director will also manage the development and execution of a wide range of events, products, programs, and services that meet NAFSA’s strategic goals.
Major Functions and Responsibilities:
Serve as staff partner to the IEL KC Participate with the IEL KC leadership and Senior Director, Academic Affairs & Internationalization to establish an annual work plan for the IEL KC and work with the IEL KC team and subcommittee to accomplish the stated objectives.
Draft agendas for planning and team meetings; schedule team calls with the IEL KC chair; provide team notes and track action items.
Maintain and manage online community spaces for the IEL team and its subcommittee; arrange, manage, and participate in conference calls.
Monitor IEL team member terms and develop new position descriptions when necessary.Orient new IEL team members and ensure that their IEL team experiences are valuable and productive.
Interface with colleagues in the Leadership and Professional Development Services (LPDS) department on volunteer member leader management and IEL KC-related activities at the NAFSA annual conference, regional conferences, and WLM.
Manage all projects identified within the IEL KC work plan, as well as additional activities initiated by the AAI unit
Collaborate with volunteer leadership to develop planning calendars and facilitate and co-lead project meetings both in person and by conference call to ensure progress and project completion.
Manage the NAFSA inter-departmental coordination of each project as necessary.
Monitor progress and manage projects to keep them on track, in terms of quality, budget, and timeliness while keeping supervisor well informed.
Working with the Senior Director, Academic Affairs & Internationalization, ensure quality delivery of products, web material, programs, program notes and events, including event preparation, budget management and reconciliation, as well as the completion of evaluation reports.
Support, manage, and promote programs, products, and services, related to comprehensive internationalization, the IEL KC, and Senior International Officers(SIO)
Keep abreast of trends and resources related to higher education internationalization and professional development for senior international officers.
Working closely with the IEL KC leaders, ensure ongoing activity in the online IEL professional network through regular postings and new resources.
Maintain an up-to-date inventory of internationalization-related resources, programs, and products. Ensure that NAFSA systems and databases are accurate regarding NAFSA’s internationalization work, the IEL KC, and SIO members.
Work closely with the marketing team to promote internationalization programs and activities. Determine the appropriate means for distributing information and news to SIOs; promote new initiatives, trends, and resources that impact their work.
Manage the development of web-based resources for SIOs, including facilitating and leading work with members on these resources and contributing ideas as appropriate.
Assist the Senior Director in the development of publications and new programs related to higher education internationalization.
Assume other responsibilities as assigned by the Senior Director or Deputy Executive Director of Knowledge Development
Scope of Supervision
The position requires exceptional volunteer and project management skills, including knowledge of motivation, goal setting, planning, performance monitoring, and additional teamwork skills.
The Associate Director must maintain a productive and effective working relationship with a large variety of member-leaders, respecting volunteer time, while at the same time ensuring that projects are completed. Doing so requires excellent interpersonal skills. Coordination with multiple staff colleagues is essential
As representatives of a membership organization with a broad and diverse range of activities related to education and training, NAFSA staff possess more than simply specialized capabilities. Each individual is expected to take the initiative to become knowledgeable about the organization as a whole. Association members and other staff expect colleagues to be accessible and responsive, to convey a positive attitude, and to exhibit a high degree of professionalism.
The workday is generally 9:00 a.m. to 5:00 p.m. The week after Memorial Day to Labor Day, it is 8:30 a.m. to 5:30 p.m. Monday through Thursday and 9:00 a.m. to 12:00 p.m. on Friday.
Travel is required occasionally related to job responsibilities, especially for the annual conference, regional meetings, and other leadership meetings. Participation in the NAFSA annual conference the week of Memorial Day, including the holiday itself, is a job requirement. The annual conference is held in varying cities.
Bachelor’s degree plus five (5) years of experience in international higher education
Significant work experience in the planning and management of project teams
Demonstrated success in project management involving senior administrators/professionals, faculty, and volunteer groups
Superb communication skills, both oral and written (including web-based applications)
A track record of excellent customer relations skills with diverse audiences
Exceptional organizational skills and attention to detail
Demonstrated ability to take initiative, set priorities, and exercise sound judgment in a complex, fast-moving environment
Ability to lead in a team setting, while handling issues with confidence, diplomacy, and discretion
International study, teaching, or travel experience
Marketing, promotional, or event planning skills
Advanced proficiency with Microsoft Office suite products
Experience with various web or cloud-based conferencing platforms
Strong cross-cultural and public speaking skills
Experience with developing and monitoring program budgets
Web content development and database management
Prior membership in NAFSA and/or NAFSA conference attendance
