The Administrative Project Assistant , based in the Office of the Provost , will provide direct support to the Vice Provost for Research and to the Senior Director of Research Services, and complete additional tasks as assigned. The incumbent will prepare briefings, compose PowerPoint presentations, edit websites, schedule, organize and manage meetings, projects, and events, execute related administrative functions, and stand in for the Special Assistant to the Provost in his/her absence. S/he will work in a team-oriented environment with the goal of ensuring the success of the Provost's and overall University initiatives. Administratively reporting to the Senior Director of Research Services but functionally reporting jointly to the Vice Provost for Research and the Deputy to the Provost, the Administrative Project Assistant has additional duties that include but are not limited to:
Administrative Duties - Support in the Provost's Office
Manage scheduling, create meetings, and coordinate interactions and events as assigned for the Provost, particularly in the absence of the Special Assistant to the Provost.
Coordinate the daily schedule of meetings, visitors, attendees, donors, faculty, staff and students for the Provost in coordination with the Special Assistant to the Provost.
Create PowerPoint presentations and advancement documents including, graphic representations and supporting written materials.
Track and manage projects and deliverables related to the work of the Provost and Deputy to the Provost.
Create briefings, advance documents, and research profiles as assigned.
Perform additional administrative assignments as assigned by Special Assistant to the Provost including the preparation of meeting materials, coordination of mailings, coordination of conference planning, catering and event planning, and event staffing.
Administrative Duties - Research
Provide general support for the Vice Provost for Research and Senior Director of Research Services, including project tasks related to briefing material for committees, managing external vendors, serving as the stakeholder for high level internal stakeholders (department chairs, associate deans), and ensuring project continuity and progress during an agreed-upon timeline.
Perform administrative duties including coordinating meetings, making travel arrangements, and securing catering, external, and internal contracts related to program and project management.
Update the Main Campus Research website and related sites as needed.
Perform additional administrative assignments as assigned by the Vice Provost for Research, and Senior Director of Research.
Requirements and Qualifications
Bachelor's degree; Higher degree preferred
Superior written and verbal communication skills, outstanding organizational skills, and exceptional reliability and work ethic
Advanced Word, Excel PowerPoint, and web editing skills
Experience in managing multiple projects for multiple principals simultaneously
Experience in working with Confidential Information Budgets/ Organization structures/ HR -related issues.
High level of professionalism and be organized, efficient, and able to coordinate multiple projects simultaneously
Highly motivated, results-oriented, and pro-active in providing administrative, financial, and research support for the Office
Superior organizational skills, a capacity to anticipate needs and to pre-emptively address them, and the ability to work both independently and collaboratively with colleagues across the university
A familiarity with GMS
Minimum of 1-3 years' practical experience working in an administrative role
Experience working with senior leaders in a higher education setting
Experience in working on research administration issues and research grants
Experience working with funding agencies, including federal agencies, private foundations, and corporate sponsors
