The Director of Institute operations will oversee all Institute operations (50%) and will serve as the direct supervisor for Masonic Cancer Center Clinical Trials Office – Cell Gene Immunotherapies core project managers (50%). Duties will span a broad range of activities as well as focus within particular areas of the Institute’s research spectrum.
Manage and provide leadership to the Institute for Cell, Gene and Immunotherapies, facilitating successful interactions with key functional groups which include MCC leadership, clinical teams, data management, M Health leadership, Fairview Research Administration, Clinical and Translational Sciences Institute (CTSI) and its financial services team, quality assurance, trial sponsors, and faculty, as needed.
Participate in business development activities and monitor growth and performance.
Oversee the development of project timelines, maintain deliverables.
Perform risk analysis and manage outcomes as appropriate for the project management team.
Advise on opportunities for project management process improvements.
Work as a moderator between departments for issues that could delay or lengthen timelines of trial stages and act as a liaison to ensure minimization of communication failures.
Manage Institute staff in accordance with University policies and applicable regulations.
Serve as CTO-CGI Director of Operations of the Masonic Cancer Center
Oversee all CTO-CGI operations as the lead administrator for that team, including staffing, HR duties, finances and communications.
Supervise and manage CTO-CGI Program Managers which, partnering with HR, includes defining goals and expectations, appraising performance, guiding professional development and handling conflict management.
Act as a mentor for staff and guide areas of personal growth and improvement that leads towards professional advancement; hold weekly office hours at the Dinnaken Office Building for presence and leadership of CTO-CGI staff.
Participate in MCC Executive Clinical Leadership monthly meeting, bi-weekly CTO leadership meetings, monthly Clinical Trial Managers Group meeting, weekly CTO Operations meeting, and weekly PM meeting.
Convene and facilitate monthly CTO-CGI meeting with the Co-Associate Director of Clinical Research, Medical Director and CTO-CGI staff.
Establish strong working relationship with Regulatory Manager, in conjunction with the Associate Director for Administration, which includes helping to support process improvement initiatives within the department.
Communicate major issues to Executive Leadership.
Work with the CTO Operations Director to ensure a quality service organization, which includes, but is not limited to, efficient utilization of resources, maintenance and management of the budget, and analyzing and collecting data regarding the operations of the department.
Collaborate closely with the CTO-CGI Clinical Director.
Ensure efficient utilization of resources.
Maintain and ensure continued management of CTO-CGI budget.
Lead all business operations, budgeting, and administrative activities that drive high value performance and an efficient, lean operating model.
Provide timely reporting of data regarding budgetary performance markers to clinical and administrative teams along with appropriate plans to improve or enhance outcomes.
Organizational Leadership Responsibilities
Increase the effectiveness and efficiency of core CTO-CGI services through improvements to each function as well as coordination and communication between functions.
Drive initiatives in the management team and organizationally that contribute to long-term operational excellence.
Contribute to short and long-term organizational planning and strategy as a member of the management team.
Function as an advisor to staff members to meet expectations or resolve operational problems.
Maintain regular contact with internal personnel at various management levels concerning projects, operational decisions, or requirements.
Exert influence in the development of overall objectives and long-range goals of the Institute.
Liaison between departments, centers and institutes to ensure limited communication failures and smooth work transitions.
All required qualifications must be documented on application materials.
Bachelor’s degree required with at least 10 years of experience or advanced degree with 8 years of experience.
Experience working with Microsoft Word, Excel, MS PowerPoint and Outlook.
Strong written and verbal communication skills.
People management experience.
Graduate degree, preferably in healthcare administration or master of business administration (MBA) with equivalent education/experience in a similar healthcare setting.
At least 10 years of directly relevant experience, preferably in an academic or clinical setting.
