The Comparative and International Education Society (CIES) is a non-profit global association for educators and practitioners whose professional work is built on cross-disciplinary ideas, systems and practices in international education. The Society has more than 3,000 members around the world. Through a competitive process, the University of Pittsburgh has been selected to provide operational and managerial support for the Society, including the provision of Executive Director, managerial, and operational services. Based in the School of Education, the Office of the Executive Director (OED) infrastructure and staff would support the directives of the CIES officials, the execution of the President's duties, and management of all aspects of the Society's business.
The University of Pittsburgh is seeking an Associate Director for the Office of the Executive Director (OED) to manage the day-to-day operations of the CIES. Under the supervision of the Executive Director, the responsibilities will relate to the (1) Office and Operations, (2) CIES Board and Executive Committee, (3) Meetings, (4) Conference Services, and (5) Special Projects.
Responsibilities will include:
OFFICE & OPERATIONS : Maintenance of all office records. Administrative and logistical support to the President in the execution of her or his duties of office. Supervises staff and manages resources and administrative processes to ensure that the goals and objectives of CIES are accomplished. Participates as a member of various divisions, campus and university committees, and represents CIES at various academic, professional, community, and student functions. Assures compliance with applicable policies, procedures, and standards. Facilitates and evaluates quality improvement efforts and develops quality improvement tools.
BOARD & EXECUTIVE COMMITTEE: Assistance in formatting the minutes of the Board and any other meetings. Assistance to the President and Board in coordinating the activities of and communication with various CIES subdivisions such as Committees and Special Interest Groups. Ensure elections (Board of Directors, Special Interest Groups) run smoothly and in compliance with the Constitution and By-laws of the society. Assistance in setting up meetings and Board travel. Provision of documentation and research for the Board and Board members
MEETINGS: Provision of services related to online meetings. Assistance in setup, planning and execution of other meetings required by the Society e.g., Regional CIES meetings, Fall Symposium, Board Retreat. Minutes for all meetings as required.
CONFERENCE SERVICES: Overseeing the contracting of a conference and meeting planning company. Supervision and engagement as first point of contact and reference with the conference and meeting planning company. Assistance to the President-Elect with conference preparation and execution including academic planning, scheduling and member outreach. Advice and assistance in marketing and promotion of the conference. Advice and assistance in additional services in conjunction with the company contracted for conference and meeting planning and the President-Elect. Advice and assistance in additional services relating to membership and attendee issues SPECIAL PROJECTS (with support from other OED staff). Recommendation, development and review of potential projects. Project management. Development of RFPs for consultants and vendors pursuant to CIES policies.
The initial term will be two years beginning January 1, 2020
There will be a possibility of renewal for an additional two-year term near the end of the first contract term. There may be travel up to two times per year.
A master's degree in a related field (comparative education, non-profit management, public administration, business administration, international affairs) is preferred. Significant relevant years of experience may substitute for the degree requirement.
2-3 years of experience in a project management, professional, and/or administrative position highly preferred.
Well-developed organizational and administrative skills.
A thorough knowledge of Microsoft Word, Excel, PowerPoint, and Photoshop.
Excellent written and oral communication.
Demonstrate strong interpersonal skills and maintain composure under stress.
Incumbent must be able to self-direct and multi-task in a fast paced environment Because the OED's staff is small, it is important the staff members work as a team and be willing to flexibly contribute to the work that needs to be done in hosting major programs or producing major publications.
