Seeking an engaged team member to perform a fulfilling, key role managing the artistic administration and organizational systems of the Boston Pops.
Manage all logistics of guest artist travel and hospitality, liaising directly with artists and their management, and serving as primary contact for logistics on-site.
Prepare and administer contracts for Pops guest artists, tours, private concerts, and runouts following the terms negotiated by the Director of Artistic Planning and Artistic Administrator.
Process all Pops Office payables and manage payment of artist fees, including appropriate MA Performing Artist taxes.
Manage and distribute complimentary ticket needs for Boston Pops conductor, guest artists, agents, and Boston Pops staff for all Pops concerts in Symphony Hall, on run outs and on tours.
Track budget lines for all artistic department expenses and collaborate on Pops annual operating budget and financial settlements.
Take primary responsibility for the use of all corporate sponsor barter deals, e.g., airlines, hotels and limousine service and incorporate into overall artist expenses budget.
Develop processes for and manage all Boston Pops information systems ,databases, and musical content resources including but not limited to OPAS, Helium audio database, NetX; act as the primary contact in implementing digital asset management for the Pops.
Provide reference recordings and music to performers.
Jointly hire and supervise part-time ancillary staff and interns.
Accompany the Pops on tours and run out concerts assisting Boston Pops Operations Manager as required.
Acquire and manage the communication and distribution of information to BSO digital, marketing and press to provide accurate and updated artist information for website and social media; editing and reviewing all public content for accuracy.
Serve as a front-line resource for questions about the activities of the Boston Pops from Customer Service, Press, Marketing and members of the public, as required.
Serve as Talent Executive for annual July 3 and 4 concerts/TV production on the Esplanade, under the direction of the Executive Producers and Pops managers. Manage a team of artist & production assistants onsite.
Participate in concert duty and other duties as required by supervisors.
Pops Artistic Administrator, Pops Director of Artistic Planning, Director of the Boston Pops, Pops Operations Manager, Pops Conductor, Business Office, Corporate Sponsorship staff, Management Office, Marketing Department, Orchestra Library, Orchestra Personnel Office, Operations Department, Chorus Director and staff, Program Office, Press Office, guest conductors and soloists, artists' managers and agents, composers and arrangers, run-out and private concert presenters and promoters, airline, hotel and limousine representatives, caterers, local and national music community.
Minimum 3 years experience in Arts Administration or related field. Solid background in music with familiarity in a diverse range of musical genres. Excellent organizational and communication skills. Ability to manage multiple priorities on deadline and to handle a broad range of responsibilities, including a facility with budgets. Self-motivated style that takes initiative and thrives in a fast-paced work environment. A team player with creativity and patience. Ability to travel on tour periodically and regular, seasonal evening and weekend work required. Excellent computer skills, including Google and Microsoft Office suites, as well as familiarity or receptivity to audio databases, OPAS, and other database software.
