Plan and execute events for the Stanford GSB Research Hub Event Team, such as high-profile speaker visits, academic conferences, seminars, student-facing educational opportunities, and other university related events. Plan and manage logistics, including: track event registrations and attendance; evaluate and recommend potential event locations and alternatives; procure and coordinate vendor services; create presentation and materials, including production of name badges, signage, attendee lists, and agendas; provide on-site event support; and day-of event support. The job will also entail a team lead role in large and multi-day events.
The Conferences and Events Manager will need to exercise judgment regarding how to prioritize tasks in the face of frequently shifting priorities, and when to delegate certain jobs to student workers or other staff. The ideal candidate has past experience working in a customer service environment. They will also have excellent judgment, integrity, flexibility, and creativity as well as a positive attitude, the ability to collaborate and consult, and a good sense of humor.

Your primary responsibilities include:
Initiate and lead meetings with stakeholders to define and monitor scope and format of events and event budgets, and/or review administrative procedures and event progress.
Serve as project leader on specific events, overseeing all aspects of each event such as: registration, speaker communication, catering, marketing, managing vendors, etc. (This may involve delegating certain of these components to other Research Hub employees.)
Assume responsibility for budget planning and management, venue management and equipment and facilities management for specific events.
Oversee registration strategy and logistics.
Build and maintain relationships with internal and external partners.
Procure and coordinate vendor services.
Research and provide recommendations for potential event locations, and evaluate alternatives.
Investigate, document and report complaints regarding all aspects of events including customer service, crowd control and staff issues.
If necessary, inspect event facilities for maintenance, janitorial and fire safety issues, ensuring enforcement of Environmental Health and Safety and other facility regulations. Arrange for correction if issues are found.
Communicate with visiting entities such as speakers/panelists, VIPs and alumni for assigned events.
Be flexible to completing any other additional assigned duties.
To be successful in this position, you will bring:
Bachelor's degree and three years of relevant experience or combination of education and relevant experience.
Demonstrated success managing event teams and planning, developing budgets, and meeting budget goals.
Excellent project management skills, and the ability to manage complex timelines and multiple projects.
Ability to work both independently and as part of a team.
Excellent interpersonal, communication, time management, and customer service skills. Must be well organized and detailed oriented.
Exceptional customer service skills with the ability to cultivate partnerships.
Demonstrated high level of confidence in making strategic decisions, good judgment, and innovative and creative problem-solving skills.
Ability to interact and successfully collaborate with a broad spectrum of contributing groups and customers.
