This position provides administrative support to the engineering services and project management team for Facilities Management Medical Center, including preparing daily schedules, scheduling meetings with internal and external resources, and prioritizing events; Utilizes Microsoft Project (MSP) to schedule team members for both design and estimating functions; Performs multiple day-to-day administrative tasks required for the smooth running of a project, including correspondence, answering phones, calling contractors and customers, making appointments, distributing documents, etc.; Sets-up projects as initially received in SAP and MSP; Creates appropriate work orders, including work orders for CNS and abatement; Responds to work order status inquiries; Prepares and reviews funding documents, schedules, and expenditures to ensure that all deliverables are in place; Organizes all documents and details to ensure accuracy before presenting to the manager for signature; Maintains accurate information updates regarding project costs, stage, and status in MSP throughout the project life cycle; Assists vendors/contractors in obtaining security access to project site(s) upon completion of University required vendor/contractor safety training; Organizes and schedules new equipment training with outside vendors, maintenance staff, and managers; and Coordinates parking, maps, and meeting locations for team members and vendor/contractors.
In addition, this position monitors project cost details as needed for project managers; Consults with project managers regarding appropriate actions to be taken with vendor invoices; Assists project managers in preparing purchase requisitions as needed; Collaborates with the Facilities Management Business Office in monitoring project status and reconciling project budgets.
MS Windows/Office;MS Project Manager; SAP; KRONOS.
Driver’s License — Preferred.
Knowledge of project management and construction trade terminology, construction materials, tools, equipment, and building products to successfully provide administrative and customer service support to an engineering services and project management department.
Demonstrated experience in providing excellent customer service in a fast-paced technical office environment.
