ADMINISTRATIVE ASSISTANT 2 , MIT Libraries , to report to the associate director for collections and provide administrative support for the Collections' directorate. Will provide comprehensive support to a number of departments within the directorate and ensure the smooth running of day-to-day and long-term operations. Responsibilities include schedule and calendar management; assisting with coordination of and logistics for events, seminars, conferences, luncheons, workshops, and meetings; drafting communications, emails, memos, and other documents; preparing materials for presentations and handling meeting logistics (room reservations, food, audiovisual, etc.); taking and disseminating minutes; maintaining documentation, wikis, and websites; assisting with layout and graphics for documents; performing information searches; maintaining organizational charts; managing files; coordinating, supporting, and proofreading reports; coordinating facilities, equipment, space, and access needs; acting as liaison to vendors; providing move support; and handling other administrative tasks and special projects as needed.
REQUIRED : three years' direct/related experience; ability to lift 25 pounds to transport catering, equipment, etc.; ability to travel between points on campus, sometimes ascending stairs; advanced-level proficiency with Windows and Word, Excel, PowerPoint, and Outlook; comfort learning additional programs/systems; meticulous attention to detail; and punctuality. Mut be able to manage competing priorities in a dynamic, fast-paced environment; analyze and solve problems; bring tasks and projects to full completion; communicate effectively; exercise independent judgment and discretion; and work independently and collaboratively with a diverse group of people. PREFERRED : work experience in an academic environment/research library; MIT experience; exposure to project management techniques/tools; and experience with Atlas, Concur, SAP, CMSs, wiki management, Visio, Adobe Creative Suite, and Asana (or other task management system).
