Reporting to the Director of Finance and Administration, the Program Manager is responsible for providing complex and advanced administrative support as well as program manager deliverables. It must anticipate the needs of senior level managers and proactively solve problems and/or independently handle issues. This position will provide support for multiple senior level managers within the External Relations, Government Affairs, and University Communications.
Take projects from original concept through final implementation on contained risk assignments (projects have mechanisms or managerial controls to minimize risk). Work is typically comprised of 55% time contribution towards project leadership and technical contributor, and 45% administrative support. CORE DUTIES PROGRAM MANAGER:
Assisting the Vice President in organizing and conducting a number of meetings with communications professional across campus. Responsibilities would include all logistics related to the meetings, as well as assistance with creating agendas and presentations.
Working with the Vice President and her staff on creating and maintaining a central website for tools, resources, policies and other relevant documents for communications professionals at Stanford.
Assisting with the creation and implementation of a campus-wide training program for Stanford communicators.
Perform the full range of project management cycle: initiating, planning, executing, monitoring and controlling, and closing. Lead projects requiring functional integration. Complete sub-project and/or stand-alone elements (or a contained project such as construction project).
Direct development of an action plan, and estimate requirements for resources, including management, labor, materials, and time required to complete project.
Facilitate discussions and negotiations to drive recommendation consensus within scope of responsibility.
Develop and help execute comprehensive change management strategy and communication plan relative to project scope and stakeholders on a focused project; actively manage resistance to change.
These elements typically delineate the project management involved at this level: Charter- charter and scoping involvement or scope definition, identify and shape scope; # of disciplines /stakeholders to manage is contained to localized department or university constituents; risk- manage and report on risks associated with projects to upper management, risk sharing is maintained between management and project manager; project complexity involves straight-forward technology applications to drive decisions; primary university relationship is at the individual faculty, department /director level; cumulative budget/scope up to $250k.
CORE DUTIES EXECUTIVE ASSISTANT:
Coordinate the executives' activities, including management of a complex calendar, travel arrangements and associated logistics. Independently commit the executive's time to those requesting access to him/her based on an in-depth understanding of the executive's priorities and needs and his/her role within the university framework.
Independently prioritize, plan, coordinate and/or oversee logistics for meetings and conferences with individuals and entities internal and external to the university, including executive and senior level staff, donors, and government officials.
Serve as the executive's liaison to various internal and external constituencies, including screening correspondence and telephone calls; keep the executive informed of all matters requiring his/her attention.
Compose correspondence; develop, review and edit presentations and documentation; independently research and analyze associated issues and/or compile materials needed for presentation and/or decision making purposes.
Oversee and/or manage multiple projects; anticipate and track critical dates, events and organizational issues for the executive; follow up with appropriate parties to ensure deadlines are met.
Organize and maintain the workings of the executive's office. Take responsibility for filing systems and ensuring all pertinent information and supporting materials are retained.
MINIMUM REQUIREMENTS:
Education & Experience:
Bachelor's degree in a related field and seven years relevant experience or a combination of education and experience. Experience in management of projects of moderate size/complexity with limited performance risk, including project planning, scheduling, tracking, and budgeting, or combination of education and relevant experience.
Knowledge, Skills and Abilities:
Polished written and oral communication skills to address a wide variety of audiences.
Ability to productively engage and influence cross-functional teams.
Demonstrated project management ability to employ integration, scope time management, cost, quality, human resources, communications, risk, and procurement components.
Demonstrated resilience, diplomacy, influence, relationship building, and problem solving skills in a variety of situations.
Depth of knowledge in technical discipline/domain needed to deliver projects.
