Develop and monitor timelines and work plans for PON's Executive Education events; meet with PON staff to coordinate efforts.
Serve as on-site manager for Negotiation and Leadership Executive Education programs: ensure smooth functioning of event, review set-up daily, confer with hotel staff, faculty and A/V, coordinate with other PON staff on roles/responsibilities; schedule, train and supervise temporary event staff.
Supervise Program Assistant for Executive Education on production of binders, slides & registration materials, event follow up & evaluations, and general support tasks.
Manage vendor relationships for Executive Education, including A/V, printers, hotel, etc... Meet regularly with event staff at the Charles Hotel to develop work orders, plan receptions and meals, monitor discount room block, etc.
Oversee event management in CVENT: design new sessions & events, update records as needed, send emails, run reports; address problems & serve as primary contact with vendor.
Assist Marketing Director by providing reports on program-related data (CVENT), reviewing evaluation forms, marketing materials, etc; participating in strategic planning and helping understand customers and their needs.
Communicate individually with 7-8 faculty for each of PON's 7 Executive Education sessions; assess their needs, review cases/exercises, slides and reading materials; coordinate with whole faculty team to ensure there is no overlap/conflict among presentations.
Oversee all exercises/role plays in Executive Education sessions; develop master list with instructions on how each exercise will be taught, purchase case rights and ensure proper printing and distribution; instruct & supervise event staff; handle changes/problems during events.
Manage seating chart for Executive Education & oversee production and printing of binders and case handouts; review all materials on site before events, address problems with printer.
Working collaboratively with Program Coordinator, help organize 20 or more PON events a semester, including faculty talks, PON Research Faculty Seminar, PON Film Series & Brown Bag Lunch Series; plan events with staff & faculty, develop timelines and work plans, make travel and hotel reservations for guests, obtain bio and program info, order film or supporting materials, reserve rooms, order catering and A/V, serve as primary contact on site.
Publicize PON events; generate blog posts and emails; maintain events email list; supervise development of posters; outreach to relevant student groups and other partners on HLS campus and in wider community.
Coordinate events related to Great Negotiator Award and Secretaries of State Project (SOSP). Develop work plan and timelines, organize logistics, panel discussions and faculty seminar, work with vendors to design poster and programs, promote through email and web posts, coordinate communications with faculty and PON community, support production of case studies.
Works with PON's Program Coordinator to provide program support to the Middle East Negotiation Initiative, in collaboration with Shula Gilad, PON Senior Fellow. Oversees development of blog posts and updates for MENI section of website. Provides logistics support to MENI events held on campus, as needed.
As with all PON positions, this is a term appointment currently expected to extend through June 30, 2020 with the possibility of extension, subject to funding and departmental needs.

Five or more years of office, event planning, project management or related experience
Bachelors degree strongly preferred, or an equivalent education plus relevant business experience

In this role, the Senior Event Planner makes independent judgments related to program delivery (improving/managing online registration system CVENT, developing seating charts, managing vendor relationships). This position makes decisions on-site when problems arise. Since the time frame for resolution may affect the options available - the person in this role may need to render a decision on how best to accomplish the task. The Senior Event Planner may rely on their colleagues or supervisor for support in reaching a quick decision that resolves the problem. Most importantly, the person in this position must have the respect of the faculty in order to make these judgements. They should maintain a collaborative approach and be a cheerful and respectful team player.
