Job Description Summary
In collaboration with the Principal Investigator, the Research Project Manager will be the âœgo-toâ person for a multi-site randomized controlled trial being coordinated by Penn and conducted at sites in four large health systems. The Research Project Manager will report to the Principal Investigator (PI) and, in collaboration with the PI, other Penn team members and designated staff at each participating health system and project sites play a key role in assuring that all milestones are successfully achieved.
The primary duties of the research project manager are to: Â provide overall coordination of a multi-site randomized controlled trial in collaboration with the Principal Investigator (PI); oversee achievement of all study milestones at Penn and partnering organizations in collaboration with the PI; and create and execute a communication plan designed to keep all parties informed Â in order to optimize achievement of projectâ™s short-term goals and longer-term organizational impact. Â The project manager is the point person for the study and will need to take initiative and display strong leadership qualities.
Provides overall coordination of a multi-site randomized controlled trial in collaboration with the Principal Investigator (PI).
Coordinates all study related activities in collaboration with the PI and other Penn investigators and key personnel.
Is the primary liaison with partnering health care organizations and trial sites to ensure effective communication and coordination.
Fosters collaborative relationships with site partners, including front-line staff and leaders, to ensure bi-directional input into study implementation and plans for spread of the intervention.
Plans and coordinates monthly meetings with the PI, other Penn team members, and external collaborators, summarizes key take-aways from meetings and monitors expected follow-up.
Coordinates site visits at partnering organizations and host meetings at Penn.
Organizes travel logistics using Penn systems and approved vendors, and processes and tracks reimbursement of individual travel expenses.
Oversees project expenses and payments in collaboration with Principal Investigator and the Office of Nursing Researchâ™s assigned Grants Manager.
Supervises students and temporary workers as needed.
Oversees achievement of all study milestones at Penn and partnering organizations in collaboration with the PI.
Co-designs with PI, other Penn team members and participating partners systems (processes and procedures) to assure that all project milestones are achieved.
Oversees the implementation of these systems and documents progress in collaboration with PI and primary Penn and partnering organizational leads.
Plans and coordinates weekly meetings with the PI and other Penn team members, summarizes key take-aways and monitors expected follow-up.
Identifies potential challenges to achieving milestones early and intervenes to assure project remains on course.
Assists key Penn team members as needed in execution of their respective roles.
Executes a communication plan designed to optimize achievement of projectâ™s short-term goals and longer-term organizational impact.
Co-designs with PI and other key team members a communication plan designed to keep leaders and staff at participating organizations and other key stakeholders fully informed about the project.
Employs diverse communication content (e.g., patient stories) and strategies (e.g., social media) to implement the plan.
Monitors responses and adjusts both content and strategies as needed.
Evaluates effectiveness of communication plan from the perspectives of participating partners and other key stakeholders.
Prepares reports and assists in the implementation of the projectâ™s dissemination plan in collaboration with the PI and participating health systems.
Prepares quarterly and annual reports for distribution to funders and partnering organizations.
Coordinates the submission of regulatory and budgetary reports.
Coordinates the submission of abstracts, policy briefs, and manuscripts; assists in preparation of conference material.
Perform additional duties as assigned
Bachelorâ™s degree required with minimum of 3-5 years of experience, or an equivalent combination of education/experience in project coordination in a health-related field preferred.Â
Strong research background required, with experience coordinating multi-site initiative preferred. Â
Excellent oral and written communication skills required.Â Writing samples required.
Excellent interpersonal skills with the ability to interface with all levels in a fast-paced environment using sound judgment and organizational savvy required.Â
A self-starter, able to think strategically and take initiative.
A collaborative player with the ability to work both independently and as part of a large research team.Â
Strong analytical and organizational skills with the ability to multi-task and meet strict deadlines.Â
Strong PC related skills using MS Office software programs, related database management and web content management knowledge are necessary.Â
