Administrative Specialist - Provost Office - 502034 SUMMARY: The Administrative Specialist provides operational and administrative support to the Associate Provost for Faculty, Associate Provost for Academic Integration and Senior Director of Finance and Operations. The position is responsible for oversight of assigned project portfolios, which include management of a range of high-visibility University events, faculty workshops, and other initiatives, often independently and with minimal supervision. The position will effectively collaborate and communicate with campus partners, ensure appropriate and responsive follow-up, accountability with stakeholder groups, and facilitate resolution of pending matters. ***For best consideration, please attach a resume and cover letter. RESPONSIBILITIES: Provides project management oversight to the Office of the Provost by: - provides planning, implementation, and oversight for assigned project portfolio, which includes a range of high-visibility University activities (eg. Colloquy), faculty workshops, meeting support, and other Provost Office initiatives
- identifies and implements short- and long-term strategies and plans that meet program/project goals
- operationalizes goals and objectives; ensures that resources are created or obtained
- ensures that day-to-day operations are efficiently and effectively managed
- manages logistics requirements, including facilities, venue, scheduling, technology, instruction, catering, etc.
- analyzes data and recommends and implements process improvements to ensure attainment of mission
- effectively collaborates and communicates with campus partners, ensures appropriate and responsive follow-up, and accountability with stakeholder groups, and facilitates resolution of pending matters
Provides project management oversight to the Academic Affairs Division by: - provides operational support for the University's Internal Review Board for the use of Human Subjects (IRB)
- oversees project life-cycle of the University's First Year Seminars program
- develops program budgets, and appropriately monitors and reports related expenses
- ensures adherence to University policy, recommends and implements general process improvements
- builds relationships across campus, develop and cultivate professional networks and build community among stakeholders
- conduct ad-hoc research and analyses
- perform other tasks as assigned
Provides administrative support to the Academic Affairs Division by: - provides calendar management for both Associate Provosts
- provides support to various committees including scheduling, correspondence, and taking of meeting minutes on occasion
- Maintain purchasing card statements and other accounts payable functions for both Associate Provosts
QUALIFICATIONS: - Demonstrated ability to handle multiple projects with conflicting deadlines, excellent time management and organizational skills, communication, and conflict recognition/resolution
- Manage changing priorities effectively and efficiently
- Effective project management skills including the ability to anticipate what might be needed in order to complete a task or project without being given detailed directions and to take the initiative when appropriate.
- Resolve issues independently or with minimal direction, and discern and communicate when broader support is required.
- Ability to anticipate needs and to work collaboratively in a team-oriented and fast-paced environment.
- Demonstrated ability to recognize where efficiencies can be made, and to implement and manage such solutions.

EDUCATION & EXPERIENCE: - Bachelor's degree preferred; 4-5 years of experience providing administrative and event management preferred; experience in higher education preferred, but not required
WORK HOURS: - Full-time, non-exempt position
- Monday - Friday, 8:30 a.m. - 5:00 p.m.; 7.75 hrs./day; 38.75 hrs./week
