The Asthma Program, housed within the Division of Pulmonary & Critical Care, is seeking a highly motivated and experienced individual who will facilitate task management alongside a growing team of research coordinators and staff. This person will work closely with the Program Director to provide oversight, leadership and support required for ensuring smooth operational management related but not limited to research projects, process implementation, and program goals. This individual will also be responsible for a broad range of duties and knowledge management that contribute to overall program goals. S/he will provide oversight of networking and partnership activities which support current and ongoing opportunities to grow a portfolio of initiatives. The position requires occasional travel within the Ann Arbor, MI area to attend meetings and participate in clinic recruitment activities with the principal investigator. This individual will have strong organizational skills and be self-motivated to identify and address gaps in processes and workflow while maintaining a vision of growth. This person must have the ability to work efficiently in a fast-past environment with a multidisciplinary team. An understanding of clinical research is essential.
Responsibilities of Project Management:
Serve as a knowledge manager to the Asthma Program Director, coordinators and research staff conducting complex research and program delivery.
Provide new employee onboarding, ongoing coaching, mentorship, training, and professional development opportunities.
Foster a spirit of teamwork among research team and clinical staff that allows for open exchange of ideas, expeditious conflict resolution, appreciation for diversity, as well as cohesiveness, supportiveness, and effective work processes to enable each employee to be successful.
Manage the resources and activities of the group, in collaboration with the Asthma Program’s Director, to ensure that projects at various stages of development are managed and moved forward in a timely, thoughtful, and efficient manner.
Build, manage, modify project budgets according to financial policies set forth by the University and funders.Leadership Responsibilities of Project Management:
Identify and execute supportive tasks required to meet the organization's expectations for productivity, quality, and goal accomplishment. This includes implementing and updating standard operating procedures, develop training programs, coordinate common work practices within the Program team.
Plan and implement improved tools and processes to improve the quality of project deliverables and help the Asthma Program team to fulfill their roles more effectively and efficiently.
Work collaboratively with functional groups to develop workflows and processes to streamline cross-functional study activities.
Take an active role in contributing to the organizational commitment to build and maintain a culture of success.
Appropriately communicate information through team meetings, one-on-one meetings, and appropriate email, phone, and face-to-face interpersonal communication, as well as implement best practices for effective communication by the Asthma Program.
Participate as a member of team meetings when appropriate and communicate regularly with relevant managers and directors.
Provide administrative leadership and support for the Asthma Program team.
Be the interface between the data coordinating center and the overall PI, maintaining positive and cooperative relationships in day-to-day interactions with investigators and study sites.
Assist with design of case report forms, database validation and error variables for data entry of the asthma registry and other investigator-initiated proposals.
Assist in preparation of annual and interim reports for funders and oversight entities.
Clinical Trial Coordination
Serve as the primary coordinator for at least two clinical trials and administrative oversight over study staff for additional trials.
Work closely with CTSU staff and regulatory coordinator to ensure that study start up is occurring in a timely fashion including but not limited to coordinating budget meetings, pre-site visits, qualification and initiation visits.
Work closely with all staff to ensure that the team is meeting enrollment goals in ongoing clinical trials.
Work with the Director to complete annual performance evaluations of staff.
Manage HR related activities including schedule requests, salaries, disciplinary actions for the study team.
Bachelor’s degree in an appropriate field or an equivalent combination of education and experience are necessary.
At least 2 years of administrative/supervisory experience, preferably in academic or research units.
Demonstrated ability to lead teams, integrate activities, and manage change.
Demonstrated ability to develop and implement workflow process improvements within a team environment.
Demonstrated understanding of Microsoft Office Suite including Excel budgeting features.
Excellent communication skills in a multidisciplinary environment.
Able to manage competing priorities effectively.
Ability to make independent decisions on matters of significance, free from immediate direction, within the scope of responsibilities.
Excellent organization, verbal, written and interpersonal skills are required.
Prior experience in project management or experience as a lead coordinator of a clinical research team with demonstrated direct leadership responsibilities.
Training/experience in a health care related setting.
Experience with or willingness to learn basic financial management tools
Mastered understanding of ICH, GCP and FDA regulations and guidelines about the conduct of human subject research.
Willingness to travel within the Ann Arbor and surrounding areas occasionally, when necessary. Travel may be required to investigator meeting occasionally.
