Provides general administrative support to an office or group of sales professionals. Assists multiple brokers in executing and developing new business and with leasing and marketing of retail properties.
Works under the direction and guidance of experienced sales professional or team of sales professionals in a training capacity. Coordinates the distribution of internal and external marketing information.
Reports to managing director, client services manager, or sales management, depending upon market organizational structure.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Gathers supporting documentation to complete voucher forms and process Brokers' commission payments while abiding by company accounting policies as well as local and national laws.
Assists with the creation of the design and distribution of flyers, property brochures, proposals or offering memoranda for the purpose of closing deals. Including aggregating team ideas, writing text, assembling content, including images for the team.
Supports Sales team members in the implementation of business strategies. May include gathering due diligence items throughout transaction process including plans, elevations, rent roll, existing exclusives and other pertinent property information. Deal Support- drafting, editing and comparing letters of intent (for both Tenant and Listings).
Provides prospecting support. Will be responsible for management of prospecting process which may include identifying and researching new prospects (retailers and restaurants), providing regular lists of new prospects for brokers to call upon, initial outreach emails and carefully relaying feedback from that outreach. Tracks and reports on responses and communications from sourcing activities.
Interfaces directly with the clients, including taking them on property tours, resolving routine issues and responding to pricing and/or non-routine inquiries.
Candidate will be involved in conversations around site selection strategy. Candidate will be responsible for leveraging LoopNet, Co-star, ownership databases, other brokerage teams and walking/driving the market to identify and gather details for target locations. This responsibility will require candidate to call on / email other brokers and property owners. Candidate will track and document all efforts in a diligent and organized fashion to expedite client reporting.
Acts as single point of contact for all data requirements from the sales team, including information related to marketing, research and financial analysis. Candidate will be expected to develop and practice strategic thinking around new ownership, tenant and market information with the appropriate teammates to ensure that it can be cataloged and/or leveraged effectively.
Creates and produces electronic and/or direct marketing campaigns for sale or lease of properties to include customized property information materials, comparable market analyses, market and industry research and targeted mailing lists.
Maintains and updates marketing infrastructure which may include a database system, intranet and external website, including data on all prospects. Involves updating market overview book including description of each market/ submarket, maps and images and other information. Reviewing and updating content of street maps which involves being in market and noting which retailers have vacated.

EDUCATION and EXPERIENCE
Associates degree (A.A.) or equivalent from 2-year college required. Bachelor's Degree (BA/BS) from a 4-year college or university preferred. 3 years' experience providing administrative support to multiple or team of professionals; ability to determine and respond to conflicting priorities preferred. 2 years' experience in the Real Estate industry.
CERTIFICATES and/or LICENSES
Current real estate license for where work is performed.
Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to effectively present information. Strong organizational and analytical skills. Ability to provide proactive, efficient, timely, reliable, courteous service to clients.
Requires knowledge of financial terms and principles. Ability to calculate intermediate figures such as percentages, discounts and/or commissions. Conducts basic financial analysis and compare the relative merits of one deal over another.
Ability to comprehend, analyze, and interpret documents. Ability to solve problems involving several options in situations. Requires advanced analytical and quantitative skills. Ability to understand an objective and develop a course of action to meet it.
OTHER SKILLS and/or ABILITIES
Detail Oriented, collaborative, self-starter, able to work independently with minimal instruction. Strong problem solving and organizational skills. Advanced skills with Microsoft Office Suite, internet research and web publishing skills.
Ability to manipulate basic templates in Power Point and/or InDesign preferred. Ability to solve problems, mathematical analysis and project management. Knowledge of accounting and business law helpful.
