The Health Improvement Program (HIP) is located within the Stanford University's Human Resources department. The Health Improvement Program was established in 1983 and became one of the first university wellness programs, offering health promotion programs to faculty, staff, retires, and family members. As part of the Stanford Enterprise, the Health Improvement Program also provides the employee wellness program for Stanford University, Stanford Health Care and Stanford Children's Health. Position Summary: As the Operations Specialist, Outreach, you will have demonstrated experience in project management and coordination skills, event planning, be highly organized and have the ability to manage complex timelines and multiple projects.If you are someone who is passionate about fostering a culture of wellness and has strong organizational skills, this position will both excite and challenge you.
Your responsibilities will include:
Act on behalf of the supervisor, department manager, in regards to establishing priorities and identifying and resolving problems that are administrative in nature
Promote, and administer a broad-based curriculum of classes for departments and science-based educational events and trainings throughout the Stanford Enterprise that meet business objectives and support cross-functional collaboration across the organization.
Provide direction and content decisions for all outreach and engagement classes promotional materials, emails and website content.
Support to various projects with a mindset to drive quality while being highly organized and also addressing gaps and challenges along the way.
Support the development and dissemination of science-based health and wellness offerings throughout the Stanford Enterprise.
Oversee and perform duties associated with the day-to-day operations of outreach program logistics; solve problems and in consultation with leadership, make decisions that impact the direction of the program.
Execute quality assurance measures through collecting and analyzing participant satisfaction program feedback to determine the quality and effectiveness of curricula design, course content, instructor delivery and participant experience.
Oversee and/or process a variety of complex financial transactions; produce, monitor, and reconcile budget statements; research, identify, and resolve discrepancies. May assist with capital or special equipment requests and/or vendor selection.
Provide programming information to individuals and departmental leaders.
Develop health education content for flyers and brochures.
Promote wellness programs to Stanford Enterprise departments through active, ongoing communications including, but not limited to, email distribution, mail distribution of class flyers, website development and participation in benefits and wellness fairs.
Support the execution of our innovative curriculum of courses and events that range across the spectrum of wellness and well-being for departmental requests, engagement classes and outreach including coordination of facility use and instructor resources, purchasing and maintaining equipment used in classes and quality assurance.
To be successful in this role, you will bring:
Preferrably, a Bachelor's degree in a related field.Minimum high School degree and at least 6 years of related experience or a combination of relevant education and relevant experience.
Experience in event promotion, logistics or programmatic functions
Ability to work both independently and as part of a team.
Excellent verbal and written communication skills.
Excellent interpersonal, time management, and customer service skills.
Excellent organizational skills and attention to detail.

Relevant subject matter knowledge.
Ability to prioritize, multi-task, and assign work to others.
Ability to constantly perform desk-based computer tasks. Frequently sitting. Occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 10 pounds. Rarely twist/bend/stoop/squat, kneel/crawl.
