Under the direction of the Supervisor, College Testing Services (CTS) and working with faculty across the College, the Specialist CTS provides customer service inclusive of professional proctoring services, and community and professional vendor testing support at multiple locations of the College. Specialists are responsible for administering, as well as monitoring and trouble-shooting standardized tests to groups and individuals while maintaining a quiet testing atmosphere. This role is responsible for following standard testing protocol by ensuring assessment integrity, distributing appropriate support materials, assisting students with accommodations, troubleshooting technology errors, and providing support, in accordance with the College policies and procedures.
Provides high quality customer service, reception and accurate intake for all visitors to any of the college's testing centers, college credit plus high school locations, and business/industry partners as needed. Perform the daily operations activities of College Testing Services. Services customers, using expertise and experience in any specialized function. Assumes general responsibility for the operation of the function, subject to management overview and supervision. Utilizes professional proctoring procedures to support a secure testing environment. Procedures include consistent verification of ID, verification of student electronic records, verification of instructions, and close proctoring of all students using physical observations, video monitoring, and electronic monitoring software. Administers and processes multiple types of exams inclusive of community and professional testing vendor exams. Reports any student concerns to department leadership; addresses student computer password needs and confirm applicable testing aids available to students; communicates all pertinent information to those that utilize the services of the department.
Compiles monthly and quarterly reports, establishes databases, enhances present operational processes, and adheres to test exam data/information/reporting as required for correspondence and transmission.
Responsible for monitoring the candidate/student electronic scheduling system. Resolves customer, operational, and administrative problems. Resolve testing and technology problems, troubleshoot computer problems, and contact Test Vendor technical support; submit incident reports to Vendors and document any testing issues and report any unresolved issues to the Supervisor.
Obtains and maintains vendor proctor/administrator certifications and recertify as required.
Answers general information inquiries from students, faculty, staff, and community members and provide referrals to appropriate departments. Collaborates with and executes referrals to business partners throughout other college departments/personnel. Assists in the collection of examination fees, recording financial transactions, and delivering financial deposits.
Complies with all local, state, federal, and national examination protocols to the satisfaction of external auditors.
Professional Standards and Credentials
Obtain and maintain all Test Vendor Proctor/Administrator Certifications and recertify as required by the Vendors. Remain updated on policy and procedural updates and assure all changes are implemented and recorded in the online proctor guides and Test Center manuals. This requires the completion of annual high-stakes qualification exams and maintaining certification by consistently following exam protocol and participating in department-supported professional development.
Ensures a safe and supportive learning environment by complying with CTS Testing Center procedures, Columbus State's Academic and Student Code of Conduct policies, National College Testing Association standards, and the college's security procedures.
OTHER DUTIES AND RESPONSIBILTIES
Maintains confidentiality of exams, test results, and candidate information in accordance to Higher Education FERPA, NCTA, and vendors' standards, policies, and guidelines as well as internal regulations and procedures, with the ability to adapt to changing needs of the College and business partners.
Must be available to work at multiple test sites for the College. Hours may include working outside of a normal work week schedule as well as weekend availability on an as needed basis. This individual may work overtime or offset hours as necessary and may need to work additional evenings/weekends on a regular basis to provide service to students. Other duties as required inclusive of providing assistance as needed during peak periods and attendance of mandatory quarterly staff meetings and trainings. *Regular, predictable, and punctual attendance is required.
Usual Physical Requirements
While performing duties of this job, the employee regularly exhibits digital dexterity when entering data into computer. The employee regularly stands and walks for extended periods of time, and occasionally sits. Employee converses verbally with others in person and by telephone. Employee occasionally reaches with hands or arms, climbs or balances and stoops, kneels, crouches or crawls. Vision demands include close, relatively detailed vision when focusing on a computer screen. Employee occasionally lifts or exerts force of up to 25 pounds when moving files, boxes and other materials. With multiple conference spaces as well as meetings across the campus, employee regularly walks outside to other buildings.
Typical office environment. Regular exposure to moderate noise typical to business offices. Must travel to various Columbus State campuses and sites.
Associate Degree with at least one year progressively responsible experience in testing environment, in addition to customer service experience. *An appropriate combination of education, training, coursework and experience may qualify a candidate. State Motor Vehicle Operator's License or demonstrable ability to gain access to work site(s).
