Responsible for coordinating all activities related to the Operations and Student Success areas, including the scheduling, correspondence, and core administrative and management functions with appropriate offices on campus. The Coordinator will assist in all aspects of budget management and coordination within the Operations group. Liaise with all leaders of the Operations and Student Success areas to strategically coordinate activities and deliverables.
General duties & Responsibilities:
General administrative duties including research and preparation of briefing materials, organizing and scheduling meetings including contacting participants, arrangement of rooms, and other details as required.
Responsible for interacting with colleagues across the University on behalf of the VP to ensure institutional alignment with the goals of the office and strategic plan of the University.
Builds and nurtures relationships to serve as a resource for the VP and point of contact as designated for constituents to resolve complex issues and help move forward strategic and operational priorities.
Facilities needs of senior staff to raise critical issues with the VP and received need responses, guidance and decisions.
Ensure that the VP is adequately prepared for all meetings. Prepares briefing packets to include all logistical details.
Coordinates with other stakeholders on special project as needed.
Interface with all other areas within the purview of Operations & Student Success and
any and all other necessary department staff.
Assist with all special events when required, such as campus wide meetings and other student success related events.
Assist the VP with the preparation and management of the budget.
Implement business office practices including accounts payable and receivable,
purchasing and reporting as required.
Assist with Board of Governors meetings and activities when needed.
Act on behalf of the Vice President when called for.
Maintain staff work and schedules for VP’s areas of responsibility.
Ensure outstanding customer service by monitoring and assisting in campus
communication and the interaction with students’ families when required.
Work to ensure adherence to all compliance standards and University policies and
procedures within the groups including reimbursement of expenses and travel
Willingness to work non-traditional hours, including early morning, evening and
weekends as necessary.
Work in conjunction with the President and other Vice Presidents’ Offices to manage
meetings, scheduling and communication.
Other duties and responsibilities as assigned by the VP for Operations and Student
Success or by others as delegated by the VP.
5-7 years of experience as administrative/operational assistant.
Excellent project management skills Strong PC skills with Microsoft Outlook, Microsoft
Strong written and verbal communication skills; ability to work independently to
manage all of the activities associated with Student Success areas.
Excellent organizational skills and demonstrated ability to prioritize tasks and multi-task.
Must be an excellent problem solver, exercise good judgment and continuously improve
office procedures, tact, diplomacy, professional demeanor and a high degree of
confidentiality are required.
