As we prepare for our upcoming $3B fundraising campaign, it is imperative that we have a driven T alent Management Coordinator to assist with the different verticals of Talent Management. The Talent Management (TM) Coordinator will serve an important role on the Talent Management team in the Office of Advancement by providing vital administrative, project management, and communication support to the Talent Management function, including but not limited to: facilitation of the job requisition, recruitment, and onboarding processes, Talent Management-related communications and strategy, resolution of payroll issues for the Office of Advancement, record-keeping, file maintenance, HRIS entry, scheduling and calendar management, and special projects as identified by the Talent Management team.
The TM Coordinator will work closely with and report to the Senior Director, Talent Management and Strategy. This individual will also work with two Talent Management Partners, the Director, Advancement Community Learning and Engagement, two Talent Acquisition partners, as well as Graduate Assistants. The Talent Management Coordinator will have duties that include, but are not limited to the following:
Works closely with University HR to triage and resolves issues related to payroll of OA employees, providing timely communication, accurate information, and updates to OA employees.
Reviews Talent Management operating budget(s), paying close attention to expenditures and regularly updating Senior Director of budget status.
Reconciles and submits expense reports in GMS for Talent Management team members.
Prepares materials for Talent Management team meetings, presentations, and trainings, producing meeting minutes and summaries.
Manages OAHR Inbox: triages emails and requests, labels and organizes inbox, distributes to TM team members for response and/or responds and provides requested information.
Supports team in an administrative capacity (scheduling meetings, pre-meeting logistics, lunch ordering and set-up, email communication, room reservations, manage Zoom accounts, and other ad hoc requests).
Provides support with managing paperwork and requirements of University HR policies and procedures (example: Telework application process for eligible employees).
Supports calendar management of Senior Director, Talent Management & Strategy.
Ensures accurate records are maintained for Advancement through the google drive and Box folders, including but not limited to: I-9s, Position Descriptions (job descriptions), tax forms, and talent pipeline tracking.
Requisitions & GMS/Workday Support
Supports Talent Management Partners, and liaises with various stakeholders (University HR, finance, COO) to submit GMS transactions for promotions, salary adjustments, new positions and replacements in a timely fashion (when coverage and additional support is needed).
Escalates bottlenecks and identifies efficiencies in the submission and approval process as needed.
Tracks the status and timing of the requisitions and coverage items submitted.
Submits transactions in GMS for incoming New Hires (including moving them through the background stage), and one time payments.
Supports functions related to service oriented communication, including providing updates to hiring managers and requestors of promotions, salary adjustments, new positions, new hires and replacements.
Serves as the University Human Resources Contact for the Office of Advancement, which includes access in GMS to submit necessary transactions.
Communications & Announcements
Manages and distributes talent related communications sent to all advancement (new hires, promotions and departures for Moves announcements, closures early dismissals, collation of information for and distribution of department newsletters).
Develops a communications strategy to streamline and enhances Talent Management communications, supporting Advancement internal communications.
Recruitment and Onboarding
Works with Talent Acquisition partners to assist with processes, including scheduling of OA candidate phone screens and conducting interviews as needed.
Works with Talent Management Partners and Director, Learning and Engagement to support and provide a best in class onboarding experience for new hires - includes OA Orientation set-up (ordering breakfast, preparation of materials, booking conference rooms and other meeting logistics) and managing all onboarding communication with incoming new hires, drafting their onboarding schedules, scheduling trainings.
Manages all student hiring for Advancement, and works with hiring managers to make sure they understand the process.
Bachelor's Degree with 1-2 years of experience or equivalent training and/or internship experience
Interest in a career in higher education and/or Talent Management/Human Resources
Strong computer skills, including Microsoft Word, Access, and Excel
Broad knowledge of and experience in the use of research materials, including the internet and online informational databases
Ability to work efficiently and effectively, under tight deadlines
Strong problem solving abilities and the ability to exercise independent judgment as appropriate
Attention to detail and highly developed interpersonal, written and verbal communications skills
Ability to understand and practice a high standard of confidentiality and ethical information collection
Strong collaborative and project management skills with the ability to manage and prioritize multiple projects at once
A flexible team player, able to maintain confidentiality, exercise tact, resolve issues, and exercise careful judgment and discretion
Comfort with ambiguity with the ability to work independently and autonomously
Experience developing personal organization tactics to meet business goals
Excellent verbal and written communication skills and highly developed interpersonal interaction skills
Capacity to be flexible, adaptable, and responsive to needs, opportunities, and situations as they arise, as well as to multiple constituents within and outside of Georgetown University
