Reporting to the Assistant Director of Financial Aid, the Financial Assistant provides administrative support for graduate student funding in The Graduate School (TGS). This position supports day-to-day operations for TGS Financial Aid, working with faculty, staff, graduate students, and external agencies to ensure TGS doctoral students are correctly funded. The Financial Assistant is responsible for data entry, reconciling reports, reviewing scholarship funding, and other administrative tasks. This position provides excellent customer service and advising to graduate faculty, staff, and students regarding funding requests, policies, and procedures, and collaborates with a number of departments across campus to administer graduate student funding.

Ensures that TGS mission, values, guidelines, policies and procedures are implemented and maintained. Supports accurate and timely data entry for various administrative systems.
Maintains positive, professional relationships and an open line of communication between the financial aid staff and academic programs.
Runs reports and queries to reconcile data between systems, working closely with internal and external partners.
Supports coordination with external funding from private and federal agencies, including reporting, entering funding, and communicating with other Northwestern offices as necessary.
Monitors student registration status on quarterly basis to ensure compliance with TGS, University, and federal regulations.
Reviews TGS website to ensure financial aid information is clear, consistent, and up-to-date.
Serves as TGS liaison between students, departments and any other appropriate third parties.

High school diploma or the equivalent.
3 years accounting &/or bookkeeping or other relevant experience.

Preferred Qualifications: (Education and experience)
Bachelor’s Degree and at least one year of experience supporting office operations and data entry in web based applications.
Experience working in support of graduate student funding or financial aid related field.

Proficiency with PeopleSoft products.
Adaptable to changing priorities.
Demonstrated ability to work independently, with minimal supervision.
Familiarity with external funding agencies.
