Reporting to the WUSM CIO, the Director will support the WUSM CIO as a strategic partner with day-to-day responsibility for operations and projects while maintaining cross-departmental relationships to enable leadership success. A critical goal for the role will be to enable the WUSM CIO to focus on larger strategic organizational initiatives. The Director will play key roles as leader for change management, strategy, operations support, and project management and will serve as a key member of the leadership team.
This role is responsible for coordinating the execution of strategic initiatives and all aspects of human capital management strategy including organizational planning, staffing strategies, performance planning and evaluation processes, and professional development for the organization. Finally, the role of leading governance and overseeing project management functions includes responsibility for developing and maintaining relationships to support a defined intake process, supported by proper operating procedures and policies, to deliver results in a sustainable way, in alignment with the mission, vision, and values of the division.
PRIMARY DUTIES AND RESPONSIBILITIES:
Set clear expectations regarding goals, initiatives, and objectives for the team in alignment with organizational strategy and the mission, vision, values of WUSM
Overseeing large, often cross-functional organization-wide projects or initiatives
Bring together multiple stakeholders and help drive decisions.
Researching, benchmarking, analyzing data, and making recommendations
Creating systems and processes to streamline operations
Strategic lead on high-profile projects
Operations Support and Resource Optimization:
Oversee daily operation including providing team management and oversight on behalf of the WUSM CIO
Retreat planning and execution
Meeting preparation and follow up including reviewing upcoming meetings for the week to ensure the WUSM CIO has the information needed to be highly productive
Reviewing communications including drafting communications or presentations for the WUSM CIO
Identifying continuous improvement opportunities for the organization including but not limited to process improvement, automation, optimization, scalability or other efficiencies
Meet regularly with business partners and represent the division to governance groups, executive leadership, and other group as required
Act as a source of direction, training, and guidance for less experienced staff
Financial Support Activities:
Coordinating financial investments in strategic initiatives
Supporting WUSM CIO and the Administrative Coordinator with monthly and annual budget process
Assisting with budget reporting and analysis, as appropriate
Human Capital Management Activities:
Directing all aspects of talent management, including implementing strategies, from recruitment to retirement including but not limited to recruiting, hiring, onboarding, performance planning, performance management, professional development, curriculum development, work planning, evaluations, and separations
Overseeing development of standard operating procedures and organization wide policies to support the success of staff and leadership and in alignment with overarching University policies and guidelines
Providing direction, as necessary, in supporting best business practices for all operational HR functions for the organization
Change Management Functions:
Develop and execute readiness assessments to prepare for planned changes
Create communication strategies to support effective transitions
Prepare and/or coordinate appropriate training to enable staff and faculty to navigate changes seamlessly
Establish resistance management plans, as appropriate, to address concerns
Provide feedback loops for staff and faculty
Partner with liaisons and other contacts across the university to help assure the planning and execution of changes aligns with best business practices
Policy and Procedure Oversight:
Develop and administer policies and standard operating procedures to support best business practices for the organization
Perform other duties as required.
Bachelor’s Degree Required, Master’s degree preferred, in business or health management or related field required plus 7 years in a business or executive management role.
Experience leading strategic and organizational planning efforts, administrative functions including HR and operational budget oversight and strategy, program or project management activities, change management, and communications delivery teams including both internal and external communications
Experience defining and using metrics to identify continuous improvement opportunities to then implement efficiencies
Experience reviewing processes, engineering processes, developing standard operating procedures, and developing and implementing policies
Proven experience organizing and directing multiple teams and departments, specifically in a matrixed environment
Excellent communicator in written and verbal form
Extremely versatile, dedicated to efficient productivity
Experience planning and leading strategic initiatives
Master’s degree or higher preferred
Higher education and healthcare management experience preferred
Operational budget experience preferred
Human Resources experience preferred
Communications experience preferred
Demonstrated understanding of generally accepted accounting principles, activity based service costing, clinical business, and not-for-profit entities - particularly institutions of higher learning.
Demonstrated understanding of complex environments
Ability to analyze and resolve highly difficult problems, to integrate information from multiple sources, to utilize creative thinking, and to exercise considerable judgment and resourcefulness
Ability to identify and analyze ineffective complex processes, and develop/implement streamlined logical processes
Ability to display diplomacy and confidentiality due to highly sensitive information
Very strong leader, team-oriented, with outstanding interpersonal skills, excellent written and oral communication skills
Strong business analysis skills and customer service background
Ability to motivate and lead workforce through periods of organizational uncertainty
Must be able to establish objectives, prepare action plans, and communicate such plans clearly and effectively to all staff levels (senior leadership, management, technical, and clerical)
Excellent time management, resource planning, and project management skills required for seeing initiatives through to completion
Excellent organizational and communication skills, both verbal and written
