Reporting to the college counselor to the president/chief advancement officer, this employee will plan and direct all logistical aspects of special events for the Advancement office, including fundraising events, alumni relations events, and donor stewardship events. On occasion, this employee will facilitate other college events that advance the mission of the college, as directed by the counselor to the president/chief advancement officer. This employee will work with program directors, staff, alumni, students, and volunteers to create high quality events that enhance Montreat College’s financial and relational capacity.
The candidate will be a creative, organized, detail-oriented, high-energy individual who is able to enhance and expand special events in support of the mission and vision of the college. The candidate will also possess the necessary leadership and external relations skills and a clear ability to articulate the essentials of a Christian liberal arts college.

Strong computer proficiency in Microsoft Office (Word, Excel, Publisher) required; and familiarity with Google Suite, and Constant Contact preferred.
Take the lead on project management of all details for each Advancement event to include: logistical arrangements for events, including facilities, arrange for food and beverage, order supplies and audiovisual equipment, volunteers, order event gifts/giveaways, order event signs and ensure proper décor (floral, linens, color schemes, etc.) to meet quality expectations.
Manage a budget for each event.
Work collaboratively with other Advancement team members to create an annual calendar of special events that maximizes potential impact and benefits of critical areas of donor stewardship and recognition as well as community and alumni/parent relations.
Prepare nametags, materials, notebooks, packages, gift bags/baskets, registration lists, seating cards and charts, scripts as appropriate for each event.
Create and manage mailing lists and attendee lists with the help of the Director of Advancement Services.
Assist program directors in setting and monitoring event budgets; keep track of individual event budgets and multiple year budgets.
Create a vision for and work with Advancement Communications Manager and Marketing and Communications team to produce event-related print materials (save the dates, invitations, printed programs, etc.) and digital marketing materials (emails, social media posts, webpages, etc.) by gathering event data, writing event text, and working with designers to produce materials.
Serve as liaison with event venue contacts on all event-related matters; negotiate vendor contracts for campus events.
Manage on-site production and cleanup for events as necessary.
Lead post-event review with Advancement team and manage the creation of event recap forms.
Maintain close, positive working relationships with donors, alumni, program directors, faculty, vendors, Wilson Scholars, volunteers, and staff.
Recruit and utilize volunteers for events and activities as needed.
Effectively communicate and delegate event responsibilities to the Advancement team, Wilson Scholars, and volunteers.
Propose new ideas to improve the event planning and implementation process.
Serve and contribute on the Advancement Council.
Maintain the integrity of the Advancement program.
Assist in other duties as needed for the good and welfare of the total college ministry.
Support and carry out policies established by the college.

Education / Experience: Bachelor’s degree required; Master’s preferred. Minimum of 3-5 years of successful administrative/leadership experience required; 6-10 years of progressive experience in development leadership preferred.
