The position will serve as the primary support for communications projects originating in the College. The position will help execute a social media and overall communications strategy to promote COSM and increase engagement with the university and the local community. The position provides executive level support to the Dean. The position serves as liaison between the Dean’s Office and constituents internal and external, including the President, Provost and others. The position routinely interfaces with a wide variety of stakeholders, including faculty, staff, students, senior administration, advisory board members, alumni, community and business leaders, potential donors, government agencies and organizations. The position manages projects and events sponsored by the Dean’s office.
Bachelor’s degree with 3 years of related experience or Associate Degree and 5 years of related experience.
In-depth knowledge and understanding of social media platforms (Facebook, Instagram, Twitter, Snapchat, YouTube, LinkedIn, etc.) Working knowledge of social media tools (i.e., Tweetdeck, Hootsuite, etc.) and monitoring and reporting services. Working knowledge of Mailchimp, Constant Contact, or other email marketing platforms. Ability to quickly learn and embrace new digital platforms.
Experience with website content management, proficient at editing/updating web-based information.
Experience providing administrative support, preferably to executive level campus administrators, including managing complex calendar, prioritizing activities and responsibilities, coordinating travel, prioritizing mail, screening telephone calls, and general office management. Demonstrated success in working with senior management at the executive level.
Strong oral and written communication skills including knowledge of, and correct use of, appropriate vocabulary, grammar and syntax to obtain and communicate information professionally. Clear, concise, and timely written and verbal communication. Meticulous attention to detail and accuracy and ability to proofread.
Demonstrated high-level administrative experience which includes advanced computer skills and demonstrated experience with office software and email applications. Must possess strong knowledge of Microsoft Word, Excel and PowerPoint. Working knowledge of Adobe Creative Cloud (particularly Adobe Photoshop and InDesign). Makes evident good technical understanding and can pick up new tools quickly.
Demonstrated ability to compose academic and other reports and business correspondence, prepare documents, prepare report for delivery and dissemination, both in PowerPoint slides and written form.

Essential Functions and percent of time::
Responsibilities include but are not limited to: Communications, Social Media and College Web Presence Management (45%) Develop, design, and deploy promotional campaigns. Work to create a consistent look and feel throughout the promotional portfolio. Create and curate original visual (graphic, photographic, and video) and print (news stories, press releases, and other copy) content. Manage the College website, newsletters, and printed course flyers. Play a lead role in designing and executing social media (Instagram, Facebook). Executive Administrative Support (45%) Dean's schedule/meetings: Manage all aspects of the Dean’s schedule ensuring that details of meetings, including background materials and travel requirements, are provided well in advance, communicated accurately, and follow up is timely. Ensure calendar accuracy as a priority. Organize, prepare agendas and attend various meetings as requested by the Dean on an on-going basis. Gather information for these meetings, schedule rooms, distribute materials, and take minutes of meetings and follow-up on details to ensure timely and accurate dissemination of information to the appropriate offices. Coordinate all daily and long-range activities of the Dean. Based on independent judgment of importance, determine when meetings or appointments can be changed to accommodate the Dean's needs or when a matter of greater urgency requires his/her immediate attention. Identify/anticipate, and distribute relevant information and materials for all engagements. Ensure that the Dean is adequately prepared for meetings; prepare or compile agenda and materials in advance. Responsible for knowing where the Dean is at all times and how to reach him/her. Set priorities for all meeting and event requests from others to ensure, in close consultation with the Dean, the best and most strategic use of his/her time. Assist the Dean with responding to requests from internal and external customers. Communications: Independently compose correspondence and reports on the Dean’s behalf. Proofread a variety of correspondence and reports, make recommendations for changes, when appropriate. Review outgoing communications for accuracy and completeness. Use correct English grammar and syntax, compose, edits, analyzes documents, to ensure alignment with style and format standards. Manage mail, phone, and scheduling communications. Screen and organize correspondence to the Dean’s office, route as appropriate, provide information, and draft replies as appropriate. Develop appropriate systems for tracking incoming and outgoing correspondence. Follow up to ensure prompt action and coordinate input from multiple sources to complete responses. Keep the Dean apprised of noteworthy redirected correspondence and its disposition. Assist the Dean with editing, merging and revising documents; coordinate the distribution of information by whatever methods of communication is necessary. Prepare the Dean’s external and internal formal communications to faculty, staff, students, campus partners and other external constituencies from inception through publication.
This is a 40-hour-per-week position based in the College Office but will require a flexible schedule for event support (e.g., early mornings, evenings, and weekends).
