This position performs a wide range of routine administrative tasks and duties in a dynamic, high-profile, fast-paced environment to support the senior administrators in the Science Dean's Office. Specific duties will include, but are not limited to the following:
Acts as the primary point of contact for the Science Dean's Office by greeting visitors and guests in a welcoming and professional manner, answering phones, and fielding general inquiries.
Provides strategic and thoughtful management of the Science Dean's and Science Administrative Dean's, daily and long-range calendar including scheduling appointments, balancing priorities, anticipating needs and proactively troubleshooting scheduling conflicts.
Provides scheduling assistance and logistical support for other senior administrators convening large/complex meetings.
Prepares agendas for Administrative Dean's standing meetings, staffs meetings, and tracks action items to ensure follow-up and resolution.
Coordinates meetings, office events, Divisional, and other special events including venue selection, catering coordination, invitations, and event facilitation.
Coordinates travel for Administrative Dean and other senior staff as needed.
Maintains thorough and up-to-date mailing/distributions lists and assists with the dissemination of information to internal and external stakeholders.
Prepares expense reports on behalf of Science Dean, Administrative Dean, and other senior staff.
Manages electronic filing system for general administrative records and materials.
Maintains office equipment and supplies for areas including shared printers, photocopier, reception area, etc. to ensure smooth operations of the office.
Updates Science Division website and social media accounts.
Other tasks and projects as assigned including providing backup coverage to the Project Manager and Special Assistant to the Dean.

Three or more years of experience as an executive assistant or administrative office position.
College degree and experience working in an academic environment preferred.
Experience with event planning.
Independent judgment, initiative, discretion, collegiality, professionalism, confidentiality, and attention to detail.
Strong interpersonal, communications, and writing skills necessary
