Department Description General Internal Medicine (GIM) is one of nine divisions in the Department of Internal Medicine. THIS IS NOT AN H1- B OPPORTUNITY ResponsibilitiesThe Administrative Assistant III provides administrative support to GIM's faculty, courses, faculty recruitment and academic personnel management, and general division support. This support includes managing calendaring, meeting scheduling, purchasing and reimbursements. Coordinates academic personnel appointments and renewals, including coordinating faculty recruitment. Also coordinates several courses and educational programs directed by division faculty or staff. Schedules facilitators, lecturers and speakers, and student sessions, coordinates catering, and anticipates and orders all necessary materials and supplies in advance. Coordinates faculty recruitment for the division and coordinates academic and HR personnel actions (faculty and non-faculty) for the division. Provides cross coverage to other GIM staff. Required Qualifications
Extensive experience calendaring and meeting scheduling
Experience with travel and expense reimbursement
Exceptional written and verbal communication skills including excellent writing, editing and proofreading skills
Ability to work occasional after hours or overtime in order to support evening courses or programs
Previous experience working with physicians in a healthcare setting
Experience working in faculty and academic affairs or human resources, particularly in scheduling interviews, hiring process, and documentation
Demonstrated knowledge of Health System and UCD policies and procedures
Experience using online/ other project management tools and apps to track tasks, create project plans and reports (for example Trello, Asana)
