Position Summary: As an integral part of the Institutional Advancement team, Alumni Affairs and Annual Giving Associate will play a key role in the operation of these two offices, providing support to their directors as in the cultivation of alumni through communication, events, and programming, and in annual giving fundraising activities through email and mail solicitations, gift receipt, and prospect management.
This is not a remote position.
Front-facing Alumni Relations
Answering OAA phone calls and either providing information or connecting alumni with the correct staff member who can
Managing the firstname.lastname@example.org email address and fielding all emails that come in through it
Assistance with pre-event logistics and preparation
On-site support at all alumni events
Alumni ID and security liaison
Managing Alumni ID requests
Interfacing with the Security Office to issue alumni IDs
Data Integrity and management
Merging duplicate alumni accounts within iModules for more accuracy in email communication
Updating large alumni lists, either by manually editing information or sending batch edits to IA Data Update
Updating records based on emails to our office, phone calls, out-of-office replies, etc.
Pulling and maintaining all data lists for alumni needs (communications list, giving histories, etc.)
Manage content of site, including photographs, job postings, event listings, etc.
Confirmation that all ALUMinate registrants are alumni and approval
Generation of bi-weekly ALUMinate newsletter
Managing the Class Notes survey, filled out by alumni who want to submit a note
Mining synagogue websites and bulletins for YU-alumni announcements
Confirmation of language/graduation years of all class note entries
Compilation of Class Note submission to MarComm
Social Media and web
Manage Facebook account and all requests that come in through it
Maintain daily presence on Facebook, including articles highlighting alumni, alumni-interest articles about YU, and sharing relevant media from YU Facebook page
Update and maintain alumni page on YU website (with Director of Marketing IA)
Communication with MarComm/Director of Marketing (IA) to manage articles being written
Collaboration with colleagues for alumni/staff profiles and communication with those people to coordinate the interviews
Assist with solicitation queries, list pulls, list reviews, and list coding
Coordinate data clean-up projects
Respond to general donor inquiries, ensuring superior levels of customer service
Assist with AF report updates
Prepare and execute Annual Fund communications in iModules for Annual Giving
Coordinate with Donor Relations on gift acknowledgment processing
Assist with campaign performance analysis
Provide support for Day of Giving planning and implementation
Maintain coding by solicitation for accurate campaign analysis and engagement tracking
Experience & Educational Background:
2-3 years of experience in a fundraising or programming/events office
Strong capability in all digital communications, email and social media campaigns
Familiarity with social media management
Skills & Competencies:
Strong writing, editing, proofreading, layout and design skills
Must be highly proficient in digital platform
Ability to present concepts verbally
Excellent organizational skills
Ability to work at evening events, and on weekends (as needed) at University events
Design capability or sensibility preferred for digital newsletters and social media
Able to work efficiently and collegially with other university offices
Project management experience
An interest and curiosity about people and a desire to highlight stories in a compelling way for a wider audience
This person must contribute new ideas and proposals on a regular basis
A key contact with administrators in Admissions, Athletics, the Deans offices, Career Services, Event Planning, Marketing and Communications, and Institutional Advancement
Must be an excellent communicator and diplomatic representative of the University
Help create a positive work environment and meet and manage deadlines
Must be able to analyze and solve problems and work independently
