The Institute team maintains an active set of educational program development efforts, interdisciplinary research studies of learning and educational improvement (as part of individual grants and multiple research centers), curriculum design efforts involving novel technologies, and professional development activities for educator and scientist communities. Reporting to the Executive Director, the Assistant to the Director will support the day-to-day work of the research group associated with ISME.The UW Institute for Science and Math Education has an outstanding opportunity for an Assistant to the Director.Duties and Responsibilities*Manage the Executive Director's complex calendar and schedule requests, ensuring obligations and deadlines are met, and employing exceptional time management skills and timely, courteous communication to a wide variety of partners, including University colleagues, community members, external funders, and education and government leaders. *Administratively support Institute research and grant activity by participating in the grant life cycle. This position will provide leadership and direction by acting as Project Manager for projects as assigned by the Executive Director; complete needed project paperwork using templates and coordinate projects using PM principles with varying levels of management detail according to complexity of project. This position will act as central liaison support to the Executive Director with administrators in several departments at the University of Washington pertaining to project-related budget coordination and planning.*Manage the Center office and supervise a 1.0 FTE classified staff responsible for front desk reception and daily administrative tasks and support.*Provide administrative support to the Executive Director to facilitate the flow of work with internal staff and external partners including developing processes and brainstorming solutions, planning agendas, session logistics, communications, and ensuring meeting and session goals are met. *Coordinate and complete complex travel arrangements for Executive Director and the ISME research group. Secure and verify reservations, tickets, hotel accommodations, and registration for national and international society meetings and conferences. Prepare travel reimbursements for both Executive Director and research related travel*Perform various research-related activities including video editing & transcription.*Establish and maintain record and file systems, including databases and video data logs*Provide physical and digital document creation support to the Executive Director, including drafting, researching, editing, and producing materials such as reports, handouts, graphics and other visual aids, blogs, presentations, narratives, and general correspondence independently or in coordination with internal staff and external partners. *Support and manage the Executive Director's internal and external meetings and conference participation including planning, correspondence, invitations, materials, room and audio/visual logistics, catering and budget needs, greeting guests, processing meeting minutes, managing action items and unresolved issues. *Responsible for ensuring the coordination, planning, and execution of Center-wide activities and communications that are critical to the Institute's success. This position will be responsible for coordinating all aspects of Institute events, including logistics, resource allocation, and preparation for the events.*Arrange, plan, and organize meetings and conferences for ISME staff and partners, including programmatic support and venue functions. Maintain the physical appearance of the floor and manage the conference room schedule for ISME staff.*Purchase and organize office supplies for use by ISME staff.*Develop special projects when needed or as assigned, such as spearheading the information gathering and formatting content and media for completion of the Annual Reports.*Other duties as assigned.Requirements*Bachelor's Degree and at least 3 years of progressively responsible experience in administrative management and support for a complex organization and/or executive support.*Demonstrated expertise in project management/coordination, time management, organization skills, multi-tasking, and attention to detail*Self-motivated with an ability to maintain a vision of overall program goals across various settings while managing specific tasks;*Strong collaborative skills and a demonstrated ability to work with large and diverse groups,*Strong interpersonal, written and oral communication skills, and awareness of ethical and political ramifications of decisions.*Proven ability to handle senior-level confidential information with a high degree of tact, judgment, discretion and diplomacy.*Demonstrated initiative in resolving complex problems;*Experience with standard computer programs with a preference for deep familiarity with the Macintosh platform.*Experience creating spreadsheets to maintain database records and create reports; facility with e-mail, internet, and web searching.*Experience with word processing/editing in Microsoft Word; experience performing complex word processing tasks such as incorporating edits across multiple individuals, merging documents, integrating text with graphics, spreadsheet and database files.*Experience with a presentation/drawing/slide program, preferably PowerPoint.DesiredFamiliarity with education and learning research; experience providing executive support.Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.BENEFITSAs a UW employee, you will enjoy generous benefits and work/life programs.
