Provides administrative support to a department or office location. Provides support for reception and guest services, mail services, phone, meeting rooms and location services.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Display professionalism and a sense of pride in all aspects of duties and responsibilities. Establishing a strong rapport in client relationships to gain trust.
Advise customer on different methods of service items and be a knowledge expert.
Utilize the voicemail procedures to review missed calls
Follow the procedures for transferring phone calls
Assist with employee badge activation for the site
Provide guest temp ID cards and maintain lists accordingly
Provide parking passes to employees as required
Follow the Prime Card procedures for distribution to client employees
Follow the event board procedures for digital signage
Manage the information to provide for guest internet access
Provide guests and employees with umbrellas or umbrella sleeves for rainy days
Ensure scent aroma program is working as intended within the lobby space
Provide all guests and employees with charging options if required
Stock and provide client branded Logo mints for guests and employees at the reception desk
Event process guidelines where applicable to site, see Event Coordinator for details on responsibilities & standards
Ensure they have the required PPE to perform any parts of their job duties
Follow the site established evacuation procedures
Participate and complete in monthly H&S trainings as assigned
Ensure all items on daily building walk checklist are completed. Submit Works orders as needed
Escort guests and employees to areas such as restrooms, conference rooms, kitchenettes for drinks, etc.
Stock and provide client branded hand sanitizers for guests and employees at the reception desk
Stock and provide candies and chocolates for guests and employees at the reception desk
Provide employees with GO pass stickers affixed to client badges
Assist employees with booking conference rooms as needed
Assist guests and employees with concierge requests such as booking taxis, restaurant recommendations, etc.
Performs other duties as assigned.

EDUCATION and EXPERIENCE
HS Diploma or GED required.
Prior Front Desk, Concierge, customer service or other hospitality experience preferred.
CERTIFICATES and/or LICENSES
Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence. Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor with a strong, professional customer service orientation.
Ability to calculate simple figures such as percentages.
Ability to understand and carry out general instructions in standard situations. Ability to solve problems in standard situations. Requires basic analytical skills.
OTHER SKILLS and ABILITIES
Intermediate skills with Microsoft Office Suite. Ability to work flexible work schedules based on office needs.

Decisions made with general understanding of procedures and company policies to achieve set results and deadlines. Errors in judgment may cause short-term impact to co-workers and supervisor.
