The Systems Administrator is part of the Facilities Business Operations Center at Vanderbilt University and is a key contributor with shared responsibilities for supporting all the systems used by Facilities. This individual will be one of two administrators for the Facilities' systems. Reporting directly to the Senior Director of Systems this person will support, troubleshoot, handle configuration development, testing and training for Facilities. This person will also assist the team in quality control of overall work order data.
The Facilities Systems team provides technology support for Facilities, including Plant Operations, Campus Planning & Construction, Real Estate, the Business Operations Center (BOC) and the Sustainability & Environmental Management Office (SEMO). We support a newly implemented construction management system (e-Builder), a mature and growing enterprise work management system (AiM), Graphical Information Systems (GIS) mapping and other systems for operations' support.
As part of the Systems team, Facilities Information Service (FIS) is responsible for maintaining the Facilities Information Library containing over 100,000 digital construction documents, GIS/mapping services and the space accounting for the University. The Space Accounting area is responsible for the creation and maintenance of floor plans for university buildings to support the mapping functions and the annual space inventory conducted within AiM Space; the data is used to document occupancy and square footage data used to calculate the Indirect Cost Recovery rates used by the Office of Contracts & Grants Accounting.
Service & Information Systems (SIS), is our work management call center and is another part of the Systems team.This group fields calls from faculty, staff and student representatives and serves as the single point of contact for all Vanderbilt University departments to Plant Operations. SIS is the first line of communications for maintenance and service requests for campus buildings, grounds, and utilities. SIS receives approximately 44 calls per day and creates 2,400 work orders a month.
Facilities' annual budget exceeds $100 million in operating expenses and includes over 400 employees. Facilities manages major capital project expenditures totaling ~$125 million annually and facility renewal, replacement and large maintenance project expenditures totaling ~$20 million annually. The Facilities Business Operations Center provides support to the entire Facilities department, specifically in regard to the areas of Finance, Employee Relations, Systems, Contracts and General Administration.
Duties and Responsibilities
AiM support.AiM is an integrated work management system that we use to generate work orders and manage assets, keys and space. AiM includes robust reporting functionality for work orders, asset status and space details.
*Provide shared support for all AiMissues. This function involves troubleshooting of our instance of the application including the database, workflows and financial 'back-end' data processing.
*Generate specifications for new/existing systemmodifications as needed.
*Administer configurationtesting/changes.An important function of the position is to review configuration requests and ascertain the technical feasibility of the change and associated downstream system implications.Once the change is approved, testing is crucial with system change management fundamentals in mind.
*Maintain security of systemdata. Patching of the system is required several times a year as well as internal reviews of data integrity and system security.
*Manage permissions/access tosystem.
*Develop appropriate process documentation
*Develop and maintain training material for AiM users, including hosting monthly training workshops and other outreach opportunities.
Additional AiM System administration requirements:
*Create scripts to correct dataerrors.
*Create procedures, functions and triggers to streamlineoperation.
*Create and maintain custom database tables and databaseviews.

Profile of an Ideal Candidate
SSA bachelor's degree isrequired.
SSA bachelor's degree in computer science or related technology is stronglypreferred.
SSAt least six months' experience supporting systems isrequired
SSFive years' experience in system support ispreferred.
SSAbility to write and debug SQL and java ispreferred.
SSDatabase administration skills arepreferred.
SSWindows/Linux server administration skills are preferred.
