Executive Assistant to Director of PHS and Behavioral Health (80%)
Assist director to carry out the vision, mission, and strategic goals of the PHS and Behavioral Health.
Assist in implementation of short-term and long-term strategic plans.
Manage PHS Advisory Council.
Oversee branding process of PHS.
Maintain Director files.
Help manage annual performance reviews of faculty, faculty development.
11 PHS and 4 Behavioral Health Faculty
Supervision of Dept. Admin Staff (Communications, Research, National Center Staff.
Oversee the interviewing, hiring, training, and evaluation of direct reports.
Partner with the faculty lead and the Department HR office on resolving complex employee relations issues as needed.
Lead team meetings with admin staff.
Assist in Directing the Postdoctoral Training Program.
Administrative support for the postdoctoral fellowship in human sexuality and behavioral health
Annual updating of APPIC Profile, Accreditation.
Supervision of web page updates regarding fellowships.
Maintain Didactic Schedule for postdoctoral fellows.
Coordinate the on-boarding of postdoctoral fellows.
Coordinate Recruitment Efforts for postdoctoral fellowship.
Assist with PHS Operations Management
Ensure following University policies
Oversee space options and needs analysis for new space in collaboration with Clinic Manager.
Monitor PHS’s budget and work with department’s finance team.
Develop and monitor 16 development funds budgets (including Sexual Health Chair, Elders Chair, Fellowship funds, National Center funds).
Dyad leadership with Clinic Manager.
Assist with Philanthropy
Event planning for development activities.
Work closely with MMF development officer to manage development activities.
Manage PHS Leadership Council.
Coordinate outreach activities and fundraising events in collaboration with the University of Minnesota Foundation, including managing budget and guest list, creating and sending invitations and thank you notes, coordinating venue/catering/event logistics.
Represent program at community functions.
Administrative Assistant to Elders Chair (20%)
Provide administrative support for the following:
Year One Course
Prepare and update syllabi and tutor training materials.
Organize lecturers and tutors (almost 40 faculty).
Liaise with Med School Curriculum Coordinator.
Prepare teaching materials for course.
Liaise with CE Curriculum Coordinator.
Cousera MOOC courses
Assist in updating course materials.
Rotations of Medical Students
Manage schedule for medical students.
Updating orientation and training materials.
Liaise with MSE coordinator.
Residents’ Sexual Medicine Course
Preparing and updating course syllabi.
Preparing course materials.
Manage room assignment.
PHS Operations Management
Ensure following University policies.
Monitor Elder’s Chair budget and work with department’s finance team.
Assistance with Sexual Health Education-related research and evaluations.

Bachelor’s degree or a combination of related education and work experience to equal four years.
Program/project management or administrative experience
Experience must include supervisory experience, overseeing activities of staff, and should demonstrate a progressive level of responsibility.
