We are searching for an Assistant Director to join our team in leading the planning and delivery of on-campus or off-site programming for our part-time online hybrid and part-time flex MBA and Masters in Business Analytics students. The majority of our students are taking classes online and live outside of the Pittsburgh area but come to campus (or other locations) for several weekend programs per year. Our programming is designed to provide in-person opportunities to supplement their academic experience and provide co-curricular activities that improve their career and professional development.
During these multi-day events, you will be responsible for ensuring an outstanding experience for students, faculty and speakers, as well as supporting the overall operation of the program. Multiple events (12 in FY20) are executed annually, to support a population of approximately 180 students.
Core responsibilities will include:
Program Planning - With oversight from the Executive Director, ensure multiple events held throughout the U.S., sometimes simultaneously, are planned far in advance and in conjunction with the academic calendar. Ensure that the project plan is updated and progress is communicated to the team on a regular basis. Take a leadership role and acting as the direct point of contact for:
Researching, identifying, and confirming hotel and meeting space;
Planning and negotiation of contracts for hotel space and lodging, catering and transportation;
Ensuring meeting space and room-set up, and establishing a clear understanding of deliverables with vendors, Tepper staff and faculty, and outside speakers;
Recommending co-curricular activities - including topics speakers, corporate visits and workshops - based on knowledge of the curriculum, student needs, and other factors. Planning the logistics involved with speaker presentations, corporate visits, and workshops; and
Supporting student communication, new student on-boarding and orientation, semester registration, student record maintenance, admissions activities, technology coordination, and graduation.
Program Execution - Ensure the detailed execution and delivery of programming during the in person events to enhance the experience for students whose connection to their education is primarily on-line. Serve as the On-site Project Lead to assure that services are in place and lodging, catering and transportation problems are resolved. Guarantee the smooth and on-time execution of the agenda and program events by:
Ordering program supplies to include student gifts, corporate visit gifts, technology support items, etc.; and maintaining supply orders and faculty payments;
Working collaboratively and effectively with various departments to include student services, building operations, business operations, university purchasing and other departments as needed; and
Supporting students through seamless delivery by anticipating their needs and responding to requests in a timely and professional manner.
Budget Oversight - Ensure that vendor activities are delivered on schedule, on budget, and meet Tepper's quality expectations. Track, monitor, and report on spending to the Executive Director. Identify potential risks to budget and make decisions about vendors and spending to avoid overages. Manage an overall budget of approximately $800,000 and effectively find opportunities for cost-savings without diminishing student experience.
Process Improvement - Collect and measure feedback from students and presenters, and incorporate the feedback into future planning and program events. Adapt and scale processes and program planning to meet the evolving needs of a growing program.

You should be able and willing to work outside of normal business hours as weekend work is required, as well as the ability to travel to other locations within the U.S.
Bachelor's degree required; Master's preferred.
Minimum one year of related experience in program or event management required; experience working with graduate students, event planning, and/or project management highly desired.
