About the Opportunity: Work with project stakeholders to ensure project delivery tasks such as, commitment approvals, change requests and payment requests are being processed in the most efficient manner. Support project management staff with the development and maintenance of project schedules and financial forecasts. Prepare reports on capital expenditures and utilization of funding sources. Provide training and technical assistance on the use of project management software (e-Builder) for Campus Planning and Facilities staff. The Assistant Project Controls Specialist will assist Leadership team, Senior Project Managers, Project Managers and Assistant Project Managers to handle a variety of project delivery tasks and responsibilities. Responsibilities include: | Managing e-Builder (project management system) input to ensure accuracy of data and conformance to project delivery standards. | Provide support in the development and maintenance of project schedules, financial forecasts and cash flows. | Initiating commitment approvals for design, construction, equipment and specialty consultant services. | Creating program/project reports for management review. | Preparation of monthly reports for leadership and university clients. | Working with team members in a diplomatic manner to retrieve necessary data for reporting. | Managing active project list to ensure detailed project status is maintained. | Support vendors with the submission of change requests and payment requests. | Prepare and manage permit documentation. | Review project correspondence for accuracy andconformance to project delivery standards. | Respond/request/follow-up as necessary to get additional information directly from vendors/contractors.
Responsibilities: e-Builder Document Management: Creating and tracking of project forms such as, Action Items and New Vendor Requests. | Support project teams with the preparation of minority participation paperwork. | Manage all correspondence and document submissions within the e-Builder document management structure to ensure conformance to project delivery standards. | Manage project warranty, operations, waiver, and maintenance documentation. | Ensure all of the tax-exempt forms, project forms and contract exhibits are current and available for project teams. | Distribute plans, specifications and clarifications as directed by the Project Managers.
Project Controls Support: Manage and ensure all project closeout procedures are followed and documented appropriately. | Provide support in the development and maintenance of project schedules and financial forecasts. | Initiate and track commitment approvals for design, construction, equipment and specialty consultant services. | Ensure all journal vouchers and associated backup are entered into e-Builder (project management system) correctly. | Report outstanding project items/tasks with internal departments. | Compile and draft project status report for stakeholder distribution. | Prepare and draft permit documentation; submit and track permit process. | Review project correspondence for accuracy andconformance to contract/amendments; respond/request additional information directly with vendor/contractor. | Assist leadership team in preparation of monthly reports. | Manage active project list to be sure detailed project status is maintained. | Assist Project Managers in assembling specific RFP (Request for Proposal) requirements. | Work with Procurement on ensuring documentation/PO conformity
Training and Support: Provide one-on-one training and support for project team members. | Coordinate attendance in formal training sessions based upon needs of project teams. | Maintain and distribute training materials to support project teams in becoming more proficient in the use of e-Builder and provide guidance on Northeastern business processes.
Qualifications: Bachelor's Degree required with 1-3 years of experience in design and construction industry or related field. Must have strong time management skills, and poses excellent verbal and written communications skills with the ability to manage multiple priorities in a fast pace environment. Strong computer skills with proficiency in Microsoft Outlook, Word, Excel, Power Point and ability to learn new applications. Ability to work effectively as a team member and have the ability to work with all levels internally and externally.
