Job Description Summary
Responsible to support a portfolio of School/Center programs, for completing all required program details and providing the highest level of service to faculty, staff and program participants. This position is responsible for coordination of all program materials, classroom set up, and program websites using key operating systems. The coordinator will respond to participant questions in advance of programs, welcome groups at registration, give announcements of essential information at the start of program and communicate critical information throughout the week. The coordinator will promptly and appropriately respond to all client and faculty requests. The coordinator will work with program managers and program directors during the planning process and will work with the highest level of professionalism in an independent, self-directed manner. Coordinator will complete tasks in accordance with standard operating procedures to ensure a seamless, high quality program delivery.
The Graduate Student Center Assistant Director assists with management and development of academic and professional development programming and resources to support 14,000+ graduate and professional students. Manages Center communications, including the website, newsletters, social media, and related technologies. Assists the Director in resource creation and dissemination. Manages large-scale activities out of the Graduate Student Center, including graduation functions.
Reporting to the Director and working closely with partners across the university, the Assistant Director will oversee a team of graduate fellows to develop, implement, and evaluate student-focused academic and professional development programming and resources to support 14,000+ graduate and professional students. The Assistant Director also oversees and manages Center communications, including general email inquiries, the website, newsletters, social media, and related technology. The Assistant Director will work closely with the Director to support successful implementation of strategic initiatives and special projects. The Assistant Director also assists with planning and executing large-scale activities out of the Graduate Student Center, including graduation activities and receptions.
Program planning, implementation, and evaluation. Assist with developing and coordinating academic and professional development programming for 14,000+ graduate and professional students. Develop and implement new programming. Facilitate or assist with ongoing academic programs and initiatives. Collaborate with other campus centers and departments to create targeted programming for graduate and professional students, in line with programmatic area goals.Â
Supervise a team of 3-4 Graduate Student Fellows
Manage Graduate Student Center communications, including social media, web and hard copy publications. Advertise Center events in new and unique ways to increase student awareness and participation across all 12 graduate schools.
Coordinate and/or assist with large-scale events, including graduation activities, receptions, and resource fairs.
Support the Grad Center Director on programming and operations. Assist with strategic outreach in support of special projects and initiatives.
Oversee programming budget related to assigned duties.
Solicit and analyze feedback from students as part of regular reporting and use data to refine programs and outreach.
Other duties and responsibilities as assigned.
BA/BS required, Masterâ™s degree in academic discipline preferred; plus 2-3 years related experience or equivalent combination of education and experience. Experience working with graduate and professional students, preferably in an administrative or professional role. Ability to work collaboratively and effectively with students, faculty, and administrative partners. Strong communication and interpersonal skills, with a sensitivity to the needs and concerns of diverse groups of students. Preferred experience with Adobe Creative Suite and comfort with social media. Demonstrated experience in developing, administering and assessing programs, workshops, or similar events. Must have outstanding writing and presentation skills and a high level of organization and project management skills. Preference will be given to candidates with demonstrated supervisory, budgetary and facility management skills; all candidates will be expected to follow all University procedures and protocols in these and other administrative areas. Assistant Director must be able to work flexible schedule that include some evenings and weekends.
