New York University has embarked on an exciting pilot program which has been bringing together faculty leaders, forming a collaborative University-wide initiative in aging-related issues focused initially on research and problem-solving. We are currently looking for a Project Administrator to be a part of this interdisciplinary team and play a key role in the Aging Incubator Initiative. S/he will be responsible for providing a broad range of complex management services. The position involves a high level of organizing and coordination efforts on behalf of the Aging Incubator, functioning as a point of contact between the various units of NYU and among the Aging Incubator Directorship, comprised of three Directors, all who have expertise in aging and aging related research.
Establish project plans to ensure key milestones and business needs and objectives are met.
Consult with stakeholders, user groups, and staff to describe and define scope of project, project specifications, resource requirements, schedule, and provide suggested actions to complex problems in order to meet project and/or plan objectives.
Analyze feedback and reports into actionable deliverables.
Provide on-going support for assigned projects, including the coordination of creating project documentation, developing timelines, outlining deliverables, and providing feedback and clarification to NYU Aging Incubator leadership team, faculty, and students, as necessary.
Provide practical and economical solutions to new business needs and recommend refinement and/or modification of workflows; prepare feasibility studies and cost/benefit analysis.
Create and maintain project plan and schedule throughout project lifecycle. Capture, monitor, and/or mitigate risks and issues. Work with the NYU Aging Incubator leadership team to ensure proper human resource allocation to ensure expected delivery time and quality.
Assist with the creation and implementation of university-wide project initiatives i.e. Brown Bags, Award Competitions, Image and Innovations, Speaker Series and Fellows' Functions.
Assist NYU Aging Incubator leadership team with the implementation and long term strategic planning of new projects and how they relate, identifying inter-dependencies.
Manage the tracking, updating and reporting of project statuses. Provide reports to management on the progress of managed projects.
Required Education: Bachelor's Degree or equivalent
Preferred Education: Master's Degree
Required Experience: 2+ years related experience (clinical research, project management or operations support)
Preferred Experience: Proficient in social media.
Required Skills, Knowledge and Abilities: Ability to interface effectively with various disciplines and units across the NYU campus. Effective communication using different modalities, including verbal, report, email, and social media. Adept with time management skills and ability to work under pressure. Proficiency using Microsoft Office applications such as Word, Excel, Access, PowerPoint and Outlook. Ability to multitask and adjust priorities in a dynamic work environment.
Preferred Skills, Knowledge and Abilities: Outstanding oral, written communication, and interpersonal skills. Familiarity with the NYU environment.
