Reporting to the Senior Director of Regional Clubs and Shared Interest Groups, the Alumni Relations Coordinator assists in the implementation of Alumni Relations programs, events, communications, meetings and outreach. The Coordinator's primary area of responsibility is to support the marketing and logistical needs of regional clubs and shared interest groups (SIGs), assist in fostering new alumni regional/SIG communities, and support NationBuilder, the communications platform used by clubs and groups.
The Coordinator also facilitates collaborations and horizontal integration across the various units within University Alumni Relations and with other partners. The incumbent is responsible for supporting quality programming targeted to the various regional clubs and SIGs and possesses strong organizational, interpersonal, program management, event planning and computer skills, and is able to adopt new technology platforms.
The Coordinator is also the alumni relations liaison for regional contacts and clubs in smaller domestic and international markets. This role will also work with the Director of Regional Clubs to help grow the alumni club community's leadership, engagement, volunteer management and outreach.
Responsibilities include, but are not limited to the following:
Provides email marketing expertise for burgeoning clubs and groups on NationBuilder platform.
Works in coordination with our internal partners to serve as the main contact and facilitator for social media development and maintenance, and digital content needs for the unit.
Assists with planning and logistics for alumni events and programs including, but not limited to, research of venues, vendor relationships, purchase orders, online registrations, contact information, and preparing briefings.
Posts between 600 and 700 alumni events per year on the University Alumni Relations Google calendar.
Responsible for creating custom infographics for our 100+ regional clubs.
In collaboration with the Administrative Assistant for Regional Clubs and SIGs, ensures all volunteer, alumni activity and contact information is recorded in Athena in support of our Alumni Lifetime Metrics Analysis (ALMA) goals and initiatives.
Facilitates data mining and alumni prospect research to increase outreach efforts for senior alumni relations officers, identification of new potential leaders, and supports efforts of volunteer succession.
Coordinates recognition for volunteers, appreciation gifts, giveaways and alumni-related merchandise as needed.
Manages student workers to maintain and update alumni and club-related data and profiles, and execute other data projects as requested.
Collaborates with Alumni Relations team to produce Columbia Alumni Association signature events throughout the year.
Manages project and team budgets in collaboration with the team's senior management, administration, and operations staff as needed.
Plans and facilitates one-on-one and group training sessions for staff and alumni volunteers for club management-related software (currently NationBuilder).
Organizes and manages the quarterly club conference calls to connect with alumni leaders across all regional clubs and share pertinent goals, strategies and information with our volunteer leaders.
Manages stipend requests (including Columbia Alumni Leaders Weekend stipends) and funding reimbursements for domestic and international alumni leaders.
Performs other duties and special projects as assigned.
Bachelor's degree and/or its equivalent required, including a minimum of one (1) year of related alumni experience. Strong proficiency with Microsoft Office is a must. Willingness to travel is required. Some night and weekend work will be required.
Knowledge of alumni relations strongly preferred. Prior email marketing, social media and web development experience preferred. Experience working with volunteers is desired.
Prior experience with the use of a complex database and a fundamental understanding of working in a complex environment required (academic environment preferable). Excellent organizational, interpersonal, oral and written communications skills, including a high level of attention to detail and active listening skills. Must be able to problem-solve and troubleshoot, in additional to the ability to work independently in a dynamic team environment. Demonstrated ability to effectively partner with a diverse group of staff. Must have a passion for excellent customer service and commitment to exceptional quality. The successful candidate possesses an ability to work well with all levels of management, both internally and externally, be flexible in nature, and has sound judgment with a collaborative style that fosters teamwork and cooperation beyond the immediate team to the broader organization.
