Job Description Summary
Under limited supervision the Program Coordinator is responsible for completing all required program details, and for providing the highest level of service to faculty and participants to support a portfolio of Wharton Executive Education open enrollment and custom programs.
This position is responsible for coordination of all program materials, classroom set up, and program websites using key operating systems. The coordinator will respond to participant questions in advance of programs, welcome groups at registration, give announcements of essential information at the start of program and communicate critical information throughout the week.Â The coordinator will promptly and appropriately respond to all client and faculty requests.Â The coordinator will work with program managers and program directors during the planning process and will work with the highest level of professionalism in an independent, self-directed manner.Â Coordinator will complete tasks in accordance with standard operating procedures to ensure a seamless, high quality program delivery.
-Manage on-line participant registration and program communications process.Â Respond to faculty and participants request for information and services. Meet with program teams for ongoing updates and to ensure flow of communication related to assigned programs.Â Â
-With close attention to detail, coordinate the preparation of master documents of all program materials to create participant notebooks, e-notebooks, and program websites.Â
-Ongoing communication with faculty and participants.Â Monitor informal participant feedback and notify program manager of all issues that are impacting or may impact the quality of the programâ™s content or delivery.
-Input all critical program details into various Exec Ed systems â“ Delphi, Ben Buys, Enlight, Wharton Direct, StudyNet, etc. for logistical requirements of program.
-Collaborate with program manager/program director to gather information to plan for all required program delivery tasks.Â
-Independently organize and complete all financial information associated with program.
Bachelorâ™s degree preferred with a minimum of 2-3 years experience or an equivalent combination of experience and education.Â Experience preferably coordinating training programs or special events in a corporate or university environment.
-Ability to work autonomously and in a team-based environment.
-Experience with public speaking a plus.
-Proficiency with Outlook, PowerPoint, Excel and ability to easily adapt to new systems.
-Effective project management skills for management of ongoing multiple priorities.
-Ability to maintain composure, effectiveness, and a pleasant demeanor under pressure.
-Effective oral and written communications skills, to listen actively and explain information clearly.
-Ability to travel to national and international locations as assigned.
-Ability to work outside of normal business hours/across time zones (to include early mornings/late evenings/weekends)Â as needed and serve as essential staff in emergencies.
