The Institute for the Study of Societal Issues (ISSI) is a large, multifaceted, interdisciplinary research institute located at the University of California at Berkeley. ISSI provides an intellectual home for faculty, students and other scholars engaged in interdisciplinary research on issues impacting social life in the U.S. and other parts of the world, especially with regard to economic inequality; social divisions of race, class, and gender; and health disparities. ISSI's six research centers focus on issues related to Native Americans, Latinx policy, right-wing movements, social medicine, ethnographic research, and social change. To promote scholarship in these areas, ISSI academic staff develop new cross-disciplinary initiatives and secure extramural funding to support them. In addition, staff support faculty research and grant development; build interdisciplinary networks between faculty and graduate student researchers; provide research training to faculty, students, and professionals; provide training, mentoring and professional development to underrepresented graduate students; disseminate research publications; facilitate graduate student and faculty working groups; and convene colloquia and conferences. ISSI provides office space to over 75 affiliated faculty, graduate students, research staff, and visiting scholars. By having faculty, graduate students, research staff and visiting scholars from different disciplines all under one roof, ISSI nurtures a lab environment, where informal conversations as well as formal presentations of research spark innovation, new insights, and new avenues of research.
This position provides administrative services to a large, complex research institute with 6 constituent research centers. The incumbent will be involved in managing the daily operations of the institute, which has 70 resident faculty and staff. The incumbent will also provide assistance in the areas of budget management, proposal preparation and reporting, Human Resources and records management, procurement, travel and entertainment reimbursements, and maintenance and building coordination. To do this, the incumbent will liaise with various affiliated administrative groups and individuals, including BRS Research Administration, BRS-HR, CSS-BF&S, VCR administration, department MSOs, Facilities Services, Capital Projects, etc.
The Administrative Officer is responsible for working with Berkeley Regional Services (BRS) and other campus units on functions involving budgeting, financial management and projections, Human Resources, purchasing and reimbursements, visiting scholars program, and internal administrative processes. The incumbent is responsible for assisting the Director, Associate Director, research center chairs, and affiliated faculty and researchers on aspects of administration including, but not limited to:
Hires, trains and supervises student assistants.
Serves as UC Path Position Control Initiator.
Visiting Scholars Program:
Manages the Institute's Visiting Scholars program, including responding to visiting scholar inquiries, managing the application process, serving as unit liaison to VSPA, collecting fees, and arranging for them to be introduced to the ISSI community through events and communications.
Travel/Entertainment Reimbursement and Procurement:
Submits and tracks purchase requests for supplies and equipment.
Manages and approves all institute expenditures and reimbursements.
Budgeting and Financial Management:
Supports institute fundraising and revenue-generating efforts, including managing outreach and registration for fee-based workshops.
Develops and maintains budgets for the Institute and six of its constituent centers, including tracking all expenses made from Institute accounts and managing transfers of funds to/from ISSI accounts.
Provides assistance with grant and contract submissions and approvals.
Gathers and analyzes financial and other resource data; prepares reports including annual report, analyses of operational activities, and evaluation of current and proposed programs, for example, revenue-generating workshops.
Leadership in General Office and Administrative Management:
Leadership in general office management.
Develops and documents procedures to routinize daily operations and activities to ensure the smooth operation of the Institute.
Manages and oversees functions related to the unit's facilities, space management, information technology and safety.
Serves as Building Coordinator.
Exercises key control authority and manages card key access to the building.
Manages office space assignments for 70 residents and room requests for office-holders and other Institute affiliates.
Serves as Equipment Custodian.
Submits and monitors IST requests and reviews monthly billing statements.
Represents ISSI at monthly Research Managers meeting.
Professional Development: Attend trainings, meetings, and workshops to stay current on campus policy and procedures.
Bachelor's degree in related area and/or equivalent experience/training.
Excellent communication, active listening, and interpersonal skills to communicate effectively with all levels of staff, faculty, students, and community partners
Excellent writing skills sufficient to represent Institute leadership in email and business communications
Ability to follow written and verbal instructions precisely and maintain confidentiality

Demonstrated experience in project management with conflicting deadlines
Comfort and experience working in a high-pressure, fast-paced environment
Experience in an academic unit of a higher education institution strongly preferred.
Salary & Benefits
Hourly Salary Range: $28.74 - $35.92
Salary & Benefits This position is a non-exempt, bi-weekly paid position. Hourly pay for this role is commensurate with experience.
