Procurement Services has an outstanding opportunity for a Manager of Business Systems. The Manager of Business Systems position provides team leadership and strategy deployment for UW procurement and financial systems support and optimization, supplier lifecycle management and data analytics and report design.This position leads a team that is responsible for escalated Tier 1 and 2 support to Procurement Services for procurement and financial business systems currently including:SAP Ariba On-Premise and Cloud Solutions, ASTRA, PAS, FAS, FIN, Supplier Registration Workflow, MyFinancial Desktop, DocuSign and future systems (including Workday-certified software partners) to be implemented as part of Finance Transformation and other technology modernization initiatives. This position is also responsible for developing and implementing policies and best practices in the area of supplier lifecycle management to support organizational goals.Duties & Responsibilities:Business System Support: Develop policies, workflow and strategies around business system support, and lead a team that is responsible for providing Tier 1-2 support of Procurement Services' systems, including:*Perform triage of system issue reports, serving as the escalated support team for technical issues related to procurement, financial and reporting systems, providing analysis, testing and recommendations for system technical issues*Provide timely notification of system status and updates to Procurement Services teams*Communicate effectively with both internal and external teams, including UW IT, to effectively communicate issue complexity and urgency and resolve Tier 2 technical issues*Develop deep knowledge in order to consult and advise internal teams regarding the full spectrum of procure-to-pay software functionality and develop support documentation as needed*Collaborate with project managers, software developers, campus user test groups in defining new system functionality requirements, business rules and system implementation planning user centered design (UCD) practices*Plan and perform technical integration of suppliers into P2P eProcurement marketplace (both current and future P2P solution)*Perform User Acceptance Testing as needed*Plan, communicate and provide change management support for procedure, policy or system changes*Coordinate activities and campus communications during Biennium Close period*Provide system training to end-users as neededSupplier Lifecycle Management: Plan, develop and execute policies and best practices around end-to-end supplier lifecycle management, and lead a team that is responsible for participating in supplier lifecycle management initiatives to reduce overall number of suppliers in the university's supplier database, including:*Supplier onboarding and maintenance activities to ensure accurate supplier information and compliance with UW procurement, payment and reporting processes, including processing online IRS forms for domestic suppliers and foreign suppliers of various IRS and university entity types*Develop deep knowledge in order to consult and advise suppliers, staff and faculty regarding the full spectrum of supplier types and their related tasks, policies, procedures and supplier software functionality*Independently advise, interpret and inform suppliers and departmental customers regarding policies, procedures and activities ensuring compliance with University, state and federal policies, rules and regulations with regard to proper procurement and payments and reporting of supplier income*Utilizing strict procedures to ensure risks to the university of audit, fines or fees are mitigated appropriately, including IRS lien, levy, B1/B2 and bankruptcy notices are in compliance with state and federal requirements*Plan, develop and execute policies and procedures on supplier purging process, including collaborating with project managers and software developers for purge implementation*Develop dashboard and other analytics to show month-to-month trends and movements in the overall number of active and inactive suppliers against the desirable total numberData Analytics, Report Design & Process Improvement: Lead a team that coordinates reporting needs with the Enterprise Services Data Group based on organizational or unit level reporting needs*Develop routine or customized reporting approaches from business systems, identifying departmental needs and reporting requirements*Review, interpret and communicate key indicators to management to drive data-driven decision-making and reporting success metrics*Participate in process improvement efforts which yield better insight into systems use, spend and procurement strategiesStrategy Planning & Implementation:*Identify, evaluate and develop opportunities for improved business processes, contract utilization and spend optimization*Evaluate new systems and integrations, including Workday-certified software partners*Perform outreach, feedback, change management as needed*Lead or participate in departmental projects focused on systems, supplier/contract lifecycle or spend optimizationAs a UW employee, you will enjoy generous benefits and work/life programs.
