Under the general supervision of the Scanning Supervisor, this individual will be responsible for implementing the mission and goals of ERHI, and incorporating information governance principles whenever appropriate. The Scanning Specialist is responsible for assisting with the content integrity of the electronic medical record by ensuring that the records are readable, associated to the correct patient, and accurately indexed. The Scanning Specialist is also responsible for assisting the Scanning Supervisor and Lead in utilizing their knowledge of the department and the electronic medical record when working with clinicians, staff and other stakeholders on special projects related to content integrity, and assists the department in meeting fiscal and clinical transformation goals. RESPONSIBILITIES:Digitizes paper documents and images by scanning records or uploading electronic files in a timely fashion into multiple electronic medical record systems. Prepares records for scanning/upload, classifies the document by type of record, ensures the quality of the documents, and ensures the accuracy of uploads into the EMR. Indexes the records and verifies the correct patient and patient number. Prioritizes work in accordance with departmental standards and daily work assignment. Identifies gaps in submitted records such as missing pages. Utilizes knowledge of appropriate procedures to scan or upload records into EMRs. Ensures regulatory standards with regard to the content of the electronic medical record are met. Collaborates with other scanning staff in ensuring the work of the content integrity unit is fulfilled. Ensures all work product is accurate and audited. Verifies quality of work performed. Collaborates in all aspects of content quality, including prepping, scanning, indexing and reviewing and verifying work. Collaborates with other ERHI stakeholders, clinical coding teams, and clinic staff involved with content integrity. Tracks and reports productivity and other metrics related to amount of paper scanned, files uploaded, and records validated. Ensures accuracy of metrics and assists with the creation of standard reporting procedures. Utilizes technology to complete job responsibilities and keeps expertise in technology updated. Completes special projects as assigned, including reviewing and updating office documentation, job aids and training materials. Provides lead back-up by assisting with lead activities. Performs other duties as assigned.Keeps up with emails daily. Attends meetings and training sessions as assigned. Reviews documentation in the departmental SharePoint site as appropriate.REQUIREMENTS:High School graduate or equivalent including two years' experience with medical records, or, equivalent education and experience.ADDITIONAL DEPARTMENTAL REQUIREMENTS:Knowledge of Epic, Sorian, or Cerner applications.Knowledge of MS Office.Knowledge of medical terminology.Ability to manage time effectively and to work in a high volume, high accuracy work environment.Ability to communicate effectively and to work in a collaborative team environment.Ability to maintain confidentiality.
